The Santa Clarita Community College District/College of the Canyons is seeking a full-time Director, Noncredit Admissions & Enrollment Servicesin the Student Services division.
Salary Placement:
This twelve (12) month per year position will be on an individual contract. This classified administrator position will be placed on Range 12of the Administrator Salary Schedule. Step placement is based on experience. Initial salary step placement for new employees is customarily at step 1, 2, or 3 ($10,360.00 / $10,515.00 / $10,672.00 per month) of this 20-step salary range.
All administrators are on an employment contract and exempt from overtime and compensatory time accumulation.

OVERALL RESPONSIBILITIES:Under the direction of the Associate Dean of Admissions, Records, and Online Services, organizes and directs operations and activities in the Noncredit Admissions and Enrollment Services Department including admissions, orientation, placement, student educational planning, registration, online services, and records management. In absence of the Associate Dean, the Director will provide oversite to the Admissions and Records Department. Coordinates communications, department personnel, and information to meet student and District enrollment needs. Supervises, trains and evaluates the performance of assigned personnel. Provides direction and training on Admissions & Enrollment policies and procedures to all staff, including those at off-site locations.
ESSENTIAL DUTIES:The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to this class:
- Organizes and directs all special admissions including, but not limited to, noncredit, Rising Scholars, and concurrent and dual enrollment. This includes coordination of all off-site admissions and registration functions, coordinating staff to be at the off-site locations, ensuring the offices are available for students on the Valencia and Canyon Country campuses, and meeting all enrollment deadlines.
- Primarily organizes and directs Noncredit Admissions & Enrollment operations and activities including coordinating the development and implementation of enrollment forms and applications, maintenance of student records and files, and related student support functions. Assures related activities comply with established policies and procedures.
- Coordinates communications, department personnel, and information to meet student and District staff enrollment needs. Resolves student application, enrollment, registration and staff member issues, conflicts, and discrepancies in a proper and timely manner.
- Act as a liaison between off site locations and the Associate Dean, Admissions, Records and Online Services.
- Provides transitional support services to noncredit students moving into credit classes. Services include but are not limited to, coordinating with financial aid, residency, and other enrollment services operations.
- Provides advisement to noncredit students for pathways to noncredit certificates and/or credit courses.
- Coordinates and oversees the document imaging function within noncredit.
- Supervises, trains and evaluates the performance of assigned personnel, in accordance with District policy. Assigns employee duties and reviews work for compliance with established requirements and procedures.
- Oversees and establishes, secures, directs, and automates the retention/destruction of student records in accordance with District guidelines and state and federal regulations.
- Monitors and assesses Admissions & Records policies and procedures for operational efficiency. Participates in the development and implementation of policies and procedures to enhance the operational efficiency of Admissions & Records activities.
- Participates in the development and implementation of Noncredit and Credit Admissions & Records annual program review plans, goals, objectives, projects, calendars and employee schedules. Coordinates group, staff, and other special enrollments as required.
- Maintains the Noncredit office website and supervises related enrollment functions.
- Participates in the development and coordination of the noncredit Admissions and Records sections of the college catalog, schedule of classes and Noncredit office website.
- Coordinates and oversees all testing of the student database and all associated programs within the Noncredit and Credit Admissions and Records departments. Acts as a liaison between Noncredit, Admissions and Records, Instruction, and Enterprise Applications.
- Contacts students, other departments and outside agencies to request and verify transcripts, reports and information as needed. Verifies and compiles residency and other student information in accordance with Title 5, California Educational Code, and all federal regulations.
- Assists in the development and preparation of the annual preliminary budget for Admissions & Records and Noncredit. Controls and authorizes expenditures in accordance with established limitations.
- Communicates with administrators, personnel and outside organizations to exchange information, coordinate activities and programs, and resolve issues or concerns.
- Operates a variety of office equipment including a copier, fax machine, computer and assigned software. Arranges for computer system modifications, maintenance and repairs as needed.
- Monitors inventory levels of forms, applications and other Admissions & Records supplies. Orders, receives and maintains adequate inventory levels of supplies.
- Attends and conducts various meetings as assigned. Develops, implements, and conducts staff training sessions as directed. Attends and participates in various committees as required.
- Communicates with the Associate Dean of Admissions, Records and Online Services and appropriate administrators concerning admissions, registration, state audit regulations, statistics, and changes in state regulations.
- Attends meetings, conferences, seminars and other gatherings to keep informed of policy changes. Serves on various college committees.
- Performs other related duties as assigned.

MINIMUM REQUIREMENTS:Experience:Two (2) years full-time equivalent experience in college noncredit and/or credit admissions, registration and records or any equivalent combination of training and experience in another student services area.
Education:Associates degree from an accredited institution is required.
Desirable Qualifications:- Bachelor’s degree from an accredited institution.

- Experience with degree audit, online services and working with outside vendors for Admissions and Records functionality.

PHYSICAL CHARACTERISTICSPosition is a stationary position and requires use of a computer for extended periods of time plus frequent periods of movement from one area to another, which may include traversing to different floors of a building; operating a computer and related equipment; communicating and providing information to others; working with various materials and objects; frequently exert 10 to 20 pounds of force to move objects; may be exposed to occasional contact with dissatisfied individuals; and travel from site-to-site.
