Role Summary
The Paid Media Project Manager – Onboarding is the primary point of contact for new clients from deal close through campaign launch. This role owns the end-to-end onboarding experience: leading orientation calls, coordinating production across internal teams, managing client communication and approvals, and transitioning accounts to Recurring Services upon a successful launch.
This role is built for a detail-oriented, proactive communicator who thrives in a fast-paced agency environment and takes pride in delivering a smooth and professional client experience.
Core Responsibilities
Client Communication & Onboarding
- Serve as the primary Paid Media point of contact throughout the client onboarding lifecycle.
- Attend the Kick-Off Call and lead the Paid Media Orientation Call, covering scope, budget, campaign goals, target audience, access requirements, and timeline.
- Send organized recap emails after all client calls and maintain a single, cohesive email thread throughout onboarding.
- Document all campaign decisions and communication in HubSpot.
Project & Task Management
- Create, assign, and manage all onboarding tasks in Trello from orientation through launch.
- Coordinate deliverable production across internal teams — ad copy, landing pages, and graphics — and keep projects on timeline.
- Route client revision requests to the appropriate team and manage the feedback loop until approval is received.
Quality Control & Launch
- Ensure all deliverables complete internal QA (Strategist review, and Team Lead review for VIP accounts) before going to the client.
- Obtain written client approval before instructing the Tech Team to begin campaign setup and before authorizing launch.
- Send official launch confirmation, update the onboarding tracker, and transition the account to Recurring Services.
Tools & Systems
- Trello — Task creation, assignment, and project tracking
- HubSpot — Deal tracking, client communication logging, and documentation
- Paid Media Internal Collaboration Chat — Internal team coordination
- Google Sheets — Onboarding trackers and reporting
- Google Ads, Meta Ads, TikTok Ads, YouTube — Familiarity for campaign context and QA
Required Skills & Competencies
Project Management
- Ability to manage multiple concurrent onboarding projects with overlapping timelines and cross-team dependencies.
- Strong task delegation, deadline tracking, and milestone management within a project management platform (Trello or equivalent).
- Proactive risk identification and problem-solving to keep projects on track.
Communication
- Clear, professional, and timely written communication with clients throughout onboarding.
- Comfortable leading structured calls and delivering organized, detailed follow-up recaps.
- Skilled at setting and managing client expectations while maintaining a positive relationship.
Operational Aptitude
- Proficiency in CRM documentation and deal tracking (HubSpot or equivalent).
- Intermediate Google Sheets skills for tracker management.
- Basic familiarity with paid media platforms and tracking fundamentals (UTMs, pixels, GA4) for QA coordination.
- High attention to detail with a strong commitment to process compliance and accuracy.
Education & Experience
- Bachelor's degree in Marketing, Business, Communications, or a related field preferred.
- 2+ years of project management or client-facing operations experience in a digital marketing or agency setting.
- Experience coordinating across creative, technical, and strategic teams.
- Relevant certifications (Google Ads, Meta Blueprint, PMP, or equivalent) are a plus.
Success Metrics
- On-time campaign launch rate across all assigned onboarding accounts.
- Client satisfaction and communication quality throughout the onboarding process.
- Accuracy and completeness of HubSpot and Trello documentation.
- Low error rate at pre-launch QA and approval stages.
- Clean and timely account transitions to Recurring Services.
