About the Role We are seeking a highly organized and proactive Project Management Analyst/ Event Planner to provide direct support to the United States Space Force (USSF) and Air Force (USAF) at Patrick AFB. In this critical role, you will drive the planning, logistics, and execution of high-visibility conferences, wargames, working groups, and symposia.
You will work closely with senior leadership, acting as the primary point of contact for executive protocol, briefing preparations, and task management. Additionally, you will serve as the unit's Security Manager, leveraging your DISS expertise to manage personnel security and access for highly classified events.
Key Responsibilities
- Event Planning & Execution: Lead pre-event planning, on-site coordination, and post-event wrap-ups for government and interagency conferences (site visits, lodging, agendas, and registration tracking).
- Executive Protocol: Provide on-site support to General Officers (GOs) and senior leadership, coordinating transportation, executive communications, and VIP protocol. Engage Judge Advocate (JA) offices for event coordination when necessary.
- Documentation & Briefings: Draft comprehensive minutes, after-action reports, and lessons learned from wargames and conferences. Prepare briefing materials and provide summation/status inputs of key issues to Government leadership.
- Meeting Facilitation: Coordinate primary HQ-level meetings and Delta/Squadron teleconferences. Manage logistics, schedule facilities, and present verbal updates on deliverables during daily/weekly status meetings.
- Security Management: Maintain certification through the Center for Development of Security Excellence. Utilize the Defense Information System for Security (DISS) to track clearances, submit/receive visit access requests (VARs), and assess access eligibility for attendees.
Required Qualifications & Experience
- Clearance: Top Secret security clearance
- Core Experience: 1–3 years of hands-on experience planning, organizing, and executing conferences, symposia, workshops, and high-level meetings.
- Protocol & Staffing: Proven experience in Protocol and staffing operations, specifically at the Headquarters, MAJCOM, or Agency level.
- Security Operations: Active experience in personnel security with Defense Information System for Security (DISS) certification.
- DoD Knowledge: Familiarity with USAF/USSF organizational structures, staffing processes, COCOMs, OSD, Joint Staff, and Service doctrine organizations.
- Skills: Exceptional organizational and task management skills, advanced proficiency in Microsoft Office, and strong written/verbal communication skills for briefing executive leadership.
