A prominent Southern California law firm is seeking an experienced Corporate Secretary to support a team of corporate attorneys. This role is ideal for a highly organized, detail‑oriented professional with strong corporate law experience who thrives in a fast‑paced environment and can manage multiple priorities with accuracy and professionalism.


Key Responsibilities

  • Prepare engagement letters, conflict waivers, and client intake documentation.
  • Support client billing processes, including reviewing and editing prebills.
  • Process expense reimbursements and audit requests in accordance with firm policies.
  • Maintain complex attorney calendars, meetings, and deadlines.
  • Coordinate attorney registrations for conferences and professional events.
  • Communicate with prospective and existing clients regarding intake and billing matters.
  • Draft, format, redline, and assemble corporate legal documents and correspondence.
  • Create, organize, and manage PDF documents, including closing books and executed agreements.
  • Provide backup administrative and secretarial support to the corporate team as needed.


Qualifications

  • Minimum 5 years of experience as a legal secretary, preferably in corporate law.
  • Experience supporting multiple attorneys simultaneously.
  • Proficiency in Microsoft Office, Adobe Acrobat, and document management systems (iManage preferred).
  • Strong organizational, communication, and multitasking skills.
  • Familiarity with client intake, conflicts, billing systems, and tools such as DocuSign and expense platforms is a plus.
  • Proactive, detail‑driven, and confident exercising sound judgment.


Compensation & Benefits

  • Annual Salary Range: $90,000–$105,000 (based on experience)

Work Environment

  • Primarily office‑based in a modern Irvine headquarters
  • Hybrid schedule: 4 days onsite, 1 day remote
