A prominent Southern California law firm is seeking an experienced Corporate Secretary to support a team of corporate attorneys. This role is ideal for a highly organized, detail‑oriented professional with strong corporate law experience who thrives in a fast‑paced environment and can manage multiple priorities with accuracy and professionalism.
Key Responsibilities
- Prepare engagement letters, conflict waivers, and client intake documentation.
- Support client billing processes, including reviewing and editing prebills.
- Process expense reimbursements and audit requests in accordance with firm policies.
- Maintain complex attorney calendars, meetings, and deadlines.
- Coordinate attorney registrations for conferences and professional events.
- Communicate with prospective and existing clients regarding intake and billing matters.
- Draft, format, redline, and assemble corporate legal documents and correspondence.
- Create, organize, and manage PDF documents, including closing books and executed agreements.
- Provide backup administrative and secretarial support to the corporate team as needed.
Qualifications
- Minimum 5 years of experience as a legal secretary, preferably in corporate law.
- Experience supporting multiple attorneys simultaneously.
- Proficiency in Microsoft Office, Adobe Acrobat, and document management systems (iManage preferred).
- Strong organizational, communication, and multitasking skills.
- Familiarity with client intake, conflicts, billing systems, and tools such as DocuSign and expense platforms is a plus.
- Proactive, detail‑driven, and confident exercising sound judgment.
Compensation & Benefits
- Annual Salary Range: $90,000–$105,000 (based on experience)
