Job Description
We are seeking an Event Planner Intermediate to join our dynamic team. The ideal candidate will have strong experience in end-to-end event planning, budgeting, logistics, and vendor management and a proven ability to deliver successful events from concept through reconciliation while leading cross-functional teams.
Responsibilities:
- Plan and execute events ranging from 10 to 500 attendees with varying complexity.
- Create and manage project plans, timelines, and detailed budgets, including preparation and post-event reconciliation.
- Lead event teams and coordinate multiple workstreams concurrently.
- Collaborate with senior leadership, business stakeholders, and clients to define objectives and success metrics.
- Provide strategic input on event concepts, programming, and audience engagement.
- Partner with internal teams including Food Services, Conference Services, Audio Visual, Security, and Facilities.
- Manage internal consulting, proposal development, and site selection through an RFP process.
- Negotiate with vendors and administer contracts, mitigating risks related to attrition and cancellation.
- Oversee hotel blocks, air and ground transportation, and all logistics including menus, room sets, décor, and AV.
- Develop copy for invitations and registration, and provide input on graphic design and event websites.
- Coordinate speakers, entertainment, activities, attendee communications, and on-site staff travel.
Required Skills & Qualifications:
- 3-6 years of professional experience in corporate or agency event planning and production.
- Proficiency in budget creation, forecasting, cost control, and reconciliation.
- Demonstrated strength in contract negotiation, RFP management, and vendor relations.
- Experience coordinating logistics, travel, housing, F&B, AV, and production schedules.
- Ability to lead teams, manage stakeholders, and communicate with senior management.
- Strong problem-solving skills with risk management and contingency planning experience.
- Excellent written communication for invitations, agendas, and stakeholder updates.
Preferred Skills:
- Certified Meeting Professional (CMP) or equivalent certification.
- Experience with event marketing, sponsorships, and post-event analytics.
