We are seeking a detail-oriented and motivated Event Coordinator to join our Corporate Events team. This entry-level position offers an exciting opportunity to gain hands-on experience in event planning within a global investment management firm. The Event Coordinator will support the execution of client events that enhance our brand, foster relationships, and drive business objectives.
This is a highly administrative position tasked with logistics and team support for the central events team. This is a great opportunity for an individual interested in learning the foundations of conference and events planning through hands-on experience. Key Responsibilities
• Assist in the planning and execution of in-person, virtual, and hybrid events (e.g., conferences, investor meetings, client receptions).
• Coordinate logistics including venue research, catering, AV, room setup, shipping and transportation.
• Manage event registration, communications, and attendee tracking.
• Support vendor management (invoices, contracts, payments, compliance review).
• Prepare event materials (agendas, signage, name badges, presentations, surveys).
• Data collection, collation, entry, and formatting.
• Meeting/conference website and invitation support in Cvent and Exact Target
• Create and maintain event RSVP reporting and post program reporting
• Provide on-site event support, including registration desk, client hosting, and troubleshooting.
• Assist with reporting, budget reconciliation, and team meeting agendas.
Qualifications
• Bachelor’s degree (Event Management, Marketing, Communications, Business, or related field preferred but not essential).
• Internship or 0–2 years of professional experience (ideally in event planning, marketing, hospitality, or related area).
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
• Proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Exact Target). Familiarity with event platforms (Zoom, Cvent, WebEx) is a plus.
• Professional demeanor and client-service orientation.
• Willingness to work occasional evenings, weekends, or travel for events.
