POSITION SUMMARY:

The Coordinator of Student Services has accountability for the effective and efficient operation of all student support services at the assigned location, St. Peter’s Hospital College of Nursing OR Samaritan Hospital School of Nursing. The Coordinator of Student Services is responsible for assisting/coordinating and implementing recruitment activities, the admissions process, registration, orientation, advisement, and commencement. The Coordinator works with the healthcare agency and students to ensure all clinical requirements are met and documented within the ACEMAPP system. The Coordinator works collaboratively with the Dean to ensure that students are meeting the program course progression (pre and co requisites) as outlined in the curriculum. The Coordinator is responsible for obtaining system(s) access for students and collaboratively working with the administrator of the LMS. The Coordinator is responsible for compiling and submitting mandatory NYS and Federal reports. The Coordinator will also collaborate with the coordinator of the sister school to ensure that there is a consistency within the Student Services Departments of both schools.

ESSENTIAL FUNCTIONS:

1. Facilitates student recruitment and admission processes. Evaluates all applications according to an established rubric and renders decision. Consults with SON Dean as necessary and collaborates with the Admissions committee for final decisions.

2. Maintains applicant database.

3. Plans and implements new student registration and orientation.

4. Completes all complex student scheduling and course registration, working in collaboration with HVCC, and affiliated Dual Degree Programs.

5. Plan and implement all commencement activities, ensuring student requirements are met.

6. Oversees and coordinates advisement program.

7. Responsible for creating academic calendar.

8. Responsible for compliance with state and Federal regulatory reporting requirements.

9. Creates and revises all school publication materials, including the schools’ section of the SPHP website, working collaboratively with the SPHP marketing department.

10. Performs all school registrar functions (graduation audits, determining transfer credit, accuracy of transcripts, maintaining course catalog)

11. Administers and maintains student information system. Performs all technical database functions necessary to begin and end a semester. Orients new employees to the use of the campus management database.

12. Creates and updates student services policies.

13. Chairs the Student Services Committee.

14. Works within the ACEMAPP student system to ensure that all students are meeting the clinical requirements for the healthcare organization.

15. Assign students to clinical rotations within the ACEMAPP system.

16. Works collaborative with the Dean to ensure efficient student-centered day to day function of the school/college occurs.

PATIENT SENSITIVITY:

No direct patient contact. The Coordinator maintains respect for and confidentiality of students at all times and ensures that the stipulations of HIPAA and FERPA are upheld at all times. The Coordinator models and enforces competent, respectful, and confidential interactions with students and families.

EDUCATION CERTIFICATIONS AND EXPERIENCE:

1. Bachelor’s in education, Business, or like degree required; Master’s degree in Education, Educational Psychology, College Student Personnel, or related master’s degree preferred.

2. Experience in a higher education academic setting (advisement, admissions, registrar), and/or experience with campus management database strongly preferred and desired.

TECHNICAL KNOWLEDGE:

This position requires a broad range of knowledge of higher education practices and regulations related to student academic advisement, admissions, registration, FERPA and college student development theory. Extensive computer skills are required.

FPROBLEM-SOLVING:

The Coordinator has full responsibility and authority for decision making in the area of accountability. The Coordinator must possess high-level problem-solving skills requiring fair interpretation, critical thinking and constructive resolution. This is a very student focused position that requires excellent communication and interpersonal skills.

G. INTERNAL/EXTERNAL CONTACTS:

The Coordinator is responsible for maintaining effective communication and positive relationships

with internal customers and a broad range of external contacts (community, academic, and regulatory).

A moderate degree of formal and informal marketing is involved with public presentations as needed.

Maintains professional relationships with multiple departments including TIS, Security, Catering, Accounts Payable, Employee Health, and Finance in support of Student Services, Hudson Valley

Community College and affiliated Dual Degree Programs. The Coordinator works collaboratively with the Financial Aid Coordinator, Bursar, Administrative Coordinator, affiliated school/college faculty and staff, and Dean of the school/college.

H. PLANNING:

The Coordinator has a responsibility for developing and evaluating processes to ensure positive outcomes, student satisfaction, staff effectiveness, customer relations and overall reputation and marketability of the School/College. Develops the academic calendar in conjunction with HVCC calendar and affiliated Dual Degree Programs, and coordinates Admissions, Registration and billing cycles.

Pay range: $24.60-$35.70

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location
