Position Summary

The Coordinator for Admissions Services – HYGIENE (Plus) position in the Office of Dental Admissions is supervised by the Director of Dental Admissions. The Coordinator for Admissions Services – HYGIENE is responsible for all services related to the dental hygiene program, application processes, data and document management for admissions materials, and management of the flow of the Office of Admissions. This position is also responsible for assisting the associate director in scheduling and planning of Dental Hygiene Admissions Committee meetings, Admissions Interview Days, and other events related to dental hygiene program. This position also may provide off-cycle support to the Associate Director and Director of Admissions for other programs within the Office of Admissions.

Programs within the Office of Admissions include: Doctor of Dental Surgery, Dental Hygiene, Advanced Standing Program, Graduate Residencies (Advanced Education in General Dentistry/AEGD, Endodontics, Periodontics, Orthodontics). The Coordinator – Hygiene will primarily focus on Dental Hygiene but will support the other coordinators for their respective programs. This position will be responsible for coordinating with the Associate Director in all aspects of the process of managing recruitment, yield and enrollment of students in the DH program.

This position requires significant independence, responsibility and expertise in managing and prioritizing workflow for a wide range of clerical and general office functions under limited supervision, including but not restricted to creating, organizing, and maintaining files, responding to inquiries from applicants, distributing paperwork and files, coordinating the internal process for Dental Hygiene admissions, and working with various units to support the overall mission of the Office of Dental Admissions.

This position involves effective and professional direct communication with faculty, staff, students, applicants, and prospective applicants. This position also is responsible for conveying program information and providing assistance to applicants and prospective applicants toward understanding and successfully completing the dental hygiene admissions process at the School of Dentistry. This position requires quality customer service skills in-person, via phone, formal written, and via email.

Essential Duties and Responsibilities

  1. Coordinate all dental hygiene admissions functions and processes through preparing, maintaining, and monitoring completion of applicant files for the Dental Hygiene program (50 applications per year). This position will also work with the other Coordinators for support admissions operations for all programs under the Office of Admissions during off-cycle DH Admissions periods.
  2. Manage and monitor departmental data and documents through electronic data entry, file preparation, admissions software programs, university information systems, and filing.
  3. Manage third party online software processes utilized as part of supplemental application process for prospective dental students, including Kira Talent, vCita, Microsoft Forms, Certiphi, and Go2Orientation.
  4. Analyze and assess documents to ensure compliance with requirements for the Dental Hygiene admissions processes and University admissions policies, including compliance with School of Dentistry and University accrediting bodies. Input all information for matriculated students into Banner, manage all application fees and deposits, and track applicant status on all documents required for admission. Serve as contact person for DHCAS and Slate centralized application services.
  5. Assist Dental Hygiene applicants with completion of their files via phone, in-person, or email advising. Communicate what parts are incomplete or missing to applicants in a professional manner. Use of CAS (DHCAS) and CRM (Slate) for monitoring and entry of materials, as well as communication with applicants.
  6. Compose correspondence related to the Dental Hygiene admissions processes to applicants and prospective applicants. This includes letters of acceptance, admissions status updates, emails regarding interviews, and other correspondence related to the admissions process from program interest through to matriculation.
  7. Provide coordination, support, document preparation, and necessary information for the Dental Hygiene Admissions Committee and related committee meetings, Admissions Interview Days, and supervision of the admissions ambassadors. Direct coordination with Public Safety, Facilities, Housekeeping and Food Services for all events herein.
  8. Provide tours for prospective applicants, school groups, pipeline programs, and pre-professional programs as assigned.
  9. Organize, participate, and provide coordination as appropriate for annual events related to Office of Admissions and/or University events, including (but not limited to) DH Orientation, Interview Days, Visit Days, etc. Support McNichols’ campus Transfer Student Day as a recruitment event.
  10. Create marketing and/or promotional materials for admissions and recruitment events for DH Program Director, DH Admissions Committee, (Other Programs) as requested.
  11. Support Associate Director with recruitment efforts by communicating with pre-professional groups and pre-health advisors on college/university campuses, high school counselors, and maintaining a database of these contacts as well as local and national recruitment fairs and events.
  12. Pull data from CAS and CRM for reporting purposes (internal and external). Expertise in Excel is critical to this role.
  13. Other duties as assigned.

Requirements

Minimum Qualifications

  • Education – A college degree or four to eight years of work experience in a related field.
  • Experience – Two years to five years (Equivalent combination of education and employment)

Preferred Qualifications

  • Experience with Banner, AADSAS/DHCAS (Centralized Application Services), Certiphi (background check software program) and web-based admissions video application programs a plus. Background in Admissions, especially professional school admissions would be preferred.
  • Candidates with a bachelor’s degree in progress will be considered for this role.

Knowledge, Skills, and Abilities

Strong work ethic, organizational skills, and ability to handle several on-going projects at once. Requires attention to detail and proficiency at computer including use of Microsoft Office Suite.


Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).

Regular exposure to favorable conditions such as those found in a normal office.
