Coordinator, Music Operations & Programs

Otterbein University is seeking an organized and detail-oriented Coordinator, Music Operations & Programs to support the daily operations and programming of the Department of Music. Reporting to the Chairperson of the Music Department, this position plays a key role in coordinating events, managing logistics, and supporting faculty, students, and programs across the department.

This is a full-time, non-exempt staff position working 40 hours per week, 52 weeks per year. The Coordinator ensures the smooth execution of concerts, events, and departmental operations while supporting student engagement, communications, and administrative processes.

Program & Operations Coordination
  • Coordinate all programmatic and operational aspects of the music program.
  • Oversee and manage departmental budget and financial operations.
  • Coordinate and implement applied music and ensemble payroll operations.
  • Tabulate and distribute faculty applied and ensemble evaluation results.
  • Coordinate room scheduling for the Department of Music.
  • Schedule events and maintain departmental calendars outside of the Registrar-managed class schedule.
Events & Logistics
  • Manage all logistics for concerts and events, including box office operations for ticketed events.
  • Generate work orders and coordinate equipment moves for events in and out of Battelle.
  • Coordinate music events and manage event logistics in Battelle.
Communications & Marketing
  • Create publicity materials and concert programs.
  • Produce the season concert brochure and the biannual department newsletter, “Music at Otterbein.”
  • Maintain and update the Department of Music website.
Student & Departmental Support
  • Supervise student employees, including stage managers and a media intern.
  • Coordinate auditions and campus visits for incoming music students.
  • Assist with planning and participate in Department of Music faculty meetings.

Education & Experience
  • Bachelor’s degree required, preferably in music or an arts-related field.
  • General experience in computerized systems required.
