Job Responsibilities

  • Coordinate Facilities Management (FM) Project work fulfilling the following responsibilities: Support Facilities Management personnel in generating and obtaining conceptual approval for CapEx Requests. Receive, review information for completeness and consistency, upload, and route all CapEx requests in the designated software system. Oversee, report progress against, and expedite tasks performed during the CapEx planning, estimating, and approval process. Route estimates for approval and update the designated software system accordingly. Answer questions, route approved projects for execution and support the FM project team in execution of CapEx projects.
    Update KPIs and issue designated reports. Interface with and communicate with third parties including vendors, store leaders, LOB leaders, regional business leaders and regional VPs in fulfilling the above duties
  • Support Facilities Management (FM) with contract coordination fulfilling the following responsibilities: maintain knowledge of approved documents and policies related to purchasing and administration of construction equipment and services.
  • Generate, route for review and execution and distribute contracts, purchase orders, change orders, and other agreements.
  • Ensure documents are appropriately generated within and updated to the designated project management software system. Provide support in evaluation, review, approval and distribution of contractor and vendor invoices.
  • Coordinate with accounting personnel insuring timely and accurate reporting of budgets, commitments, approved payments and project status both within and outside of the designated software system. Provide support in closeout of projects upon completion of all work.
  • Administer software systems relative to assigned duties.
    Act as systems administrator creating projects, assigning contacts, managing permissions and performing other trouble shooting as required. Fulfill the role of system "super user" for assigned responsibilities related to FM projects.
  • Provide general and administrative department and group support consisting of: Schedule and maintain project meeting dates for Facilities Management. Maintain files and records. Support accounting with project closeout. Coordinate with new vendors soliciting required information, routing for approval and establishing in designated software systems.
  • Close out all maintenance & repair projects, Operating and CapEx, that are deemed complete. Ensure close-out includes procurement, accounting and other project departments and software applications.
