We are working with a publicly listed real estate developer and builder with extensive operations in Texas. The company oversees the full development process, from land acquisition and planning through design, construction, and delivery, ensuring efficiency, quality, and control at every phase.
We are seeking a detail-oriented and highly organized Construction Document Administrator to support project teams by managing construction documentation, subcontractor records, and system-based project information. This role ensures that all pre-construction and project documentation is complete, accurate, and properly maintained within Procore and other internal systems.
This is a full-time, on-site role based in Houston, Texas.
Key Responsibilities
- Manage, organize, and maintain construction project documentation from project initiation through completion for assigned projects
- Receive pre-construction documentation from Project Managers, including quotes, W-9s, COIs, and subcontractor agreements
- Review and verify completeness and accuracy of all documentation prior to system upload and record creation
- Create and maintain commitment records within Procore or other construction management systems, ensuring correct job costing and coding
- Onboard subcontractors by entering and maintaining vendor documentation (W-9s, COIs, compliance records, contracts)
- Ensure all contracts and supporting documentation comply with internal standards and project requirements
- Maintain structured electronic filing systems for efficient access, retrieval, and audit readiness
- Maintain and update records across construction management platforms (e.g., Procore) to ensure real-time accuracy of project information
- Conduct routine document audits to ensure accuracy, completeness, and compliance with internal processes
- Collaborate closely with Project Managers, subcontractors, and accounting teams to ensure smooth workflow from contract setup through payment processing
- Assist in improving document control processes and maintaining best practices across projects
Qualifications
- MUST: Minimum 3+ years of experience in construction document control on active commercial or residential construction projects
- Exposure to subcontractor documentation, vendor onboarding, and project support functions
- Familiarity with construction software such as Procore (preferred) or similar construction ERP systems
- Strong attention to detail with a high level of accuracy in managing project documentation and records
- Excellent organizational and time management skills with the ability to manage multiple active projects
- Strong written and verbal communication skills with ability to coordinate across multiple stakeholders
- Ability to work independently while following structured processes and deadlines
