Launched in 2010, our Bankable program provides flexible, responsible capital to small business owners who are not yet ready for traditional financing. To date, Bankable has deployed over $78 million to support approximately 2,200 businesses across Indiana - stimulating local economies, creating jobs, and building stronger communities.


Position Details:

Title: Conferencing Coordinator

Reports to: Director of Innovation & Incubation

Hours: 40 hours/week: Generally, Monday through Friday, most often 8:30 a.m. to 5:30 p.m., with occasional flexibility required for conferences, events, or special projects.

Primary Work Location: Flagship Enterprise Center - Anderson, IN

Travel: Required for scheduled partner meetings/events and approved field appointments


Position Overview

The Conferencing Coordinator plays a central role in delivering high-quality conferencing, coworking, and front-office experiences at Flagship Enterprise Center. This position helps ensure professional, welcoming, and efficient daily operations for clients, tenants, visitors, entrepreneurs, and community partners.

  • Working under the supervision of the Director of Innovation & Incubation and in close coordination with the Incubator Manager of Operations, the Conferencing Coordinator assists with conferencing logistics, facility coordination, administrative operations, and client engagement across multiple incubator environments.
  • As one of the primary public-facing team members of the organization, this role is responsible for helping create a positive and professional experience for all who interact with Flagship. The Conferencing Coordinator helps uphold the “Flagship Standard” through strong hospitality, responsiveness, organization, attention to detail, and operational reliability.
  • This position contributes directly to Flagship’s mission of supporting entrepreneurship, business growth, innovation, and community development throughout the Anderson region.


Key Responsibilities

Conferencing & Event Support

  • Client Relations: Support internal and external event and conferencing clients by serving as a primary point of contact for inquiries and providing high-quality customer service.
  • Event Lifecycle Support: Support the planning, scheduling, and production of meetings, seminars, and special events.
  • Client & Partnership Development: Assist in developing relationships with prospective conferencing clients, tenants, and community partners.
  • Facility Readiness: Assist with day-of production details, including room setup, catering coordination, technical preparation, facility opening/closing, and teardown; as well as light housekeeping duties when needed, such as, washing tablecloths, sweeping, etc. 


Incubator & Administrative Operations

  • Reception & First Impressions: Answer incoming telephone calls, handle walk-in inquiries, and direct visitors to the appropriate staff or departments.
  • Facility Tours: Conduct tours of the incubator facilities, coworking spaces, and conference rooms for prospective tenants and event clients.
  • Project Tracking: Maintain accurate records of project stages, including client bookings and facility usage, within the tracking system.
  • General Administration: Provide administrative support for broader Flagship initiatives, including maintaining office supplies and organizing filing systems.
  • Collaboration: Work in close daily partnership with the Incubator Manager of Operations to synchronize schedules and ensure incubator components (podcast studio, coworking spaces, etc.) are functional.
  • Problem Solving: Ability to solve problems quickly and professionally in a fast-paced environment.

  • Organization: High level of self-organization and the ability to track multiple project deadlines simultaneously.
  • Integrity: A record of exemplary personal and professional integrity and a willingness to handle confidential information with discretion.
  • Event Esthetics: Strong attention to visual presentation, room aesthetics, and hospitality details, including food displays, centerpieces, and event setup.
  • Technical Proficiency: Proficiency in Microsoft Office Suite, ability to use AI in daily tasks, and experience with CRM or management software. Willingness to learn basic technical and A/V equipment used in conferencing and events, as well as a willingness to instruct guests. 


Physical & Operational Requirements

  • Ability to move tables, chairs, signage, and light event materials as needed. 
  • Ability to walk throughout multiple facilities on multiple floors regularly during the workday. 
  • Occasional early morning or evening event responsibilities. 
  • Occasional weekend meetings or event responsibilities.
  • Ability to lift approximately 50 pounds.
