Key Responsibilities for the Commercial Construction Project Coordinator.
· Support Project Managers throughout the full project lifecycle, including subcontractor buyout, scope review, contract development, and documentation tracking
· Prepare, issue, and manage subcontractor purchase orders, ensuring accuracy, scope alignment, and contract compliance
· Coordinate pre‐construction, owner‐architect‐contractor (OAC), and internal project meetings, including agenda preparation and detailed meeting minutes
· Organize and maintain all project documentation, including correspondence, drawings, specifications, change management records, and project files using structured systems
· Maintain two‐week look‐ahead schedules based on Superintendent input, project milestones, and field conditions
· Ensure projects are fully and properly set up in Procore, including current drawings, specifications, schedules, permits, and required documentation
· Create and update project schedules using Microsoft Project or comparable scheduling tools
· Review and process subcontractor and supplier submittals for completeness and compliance, routing efficiently through Procore
· Draft and track RFIs, coordinating with project stakeholders to minimize delays and support timely decision‐making
· Prepare Potential Change Orders (PCOs) and formal Change Orders (COs) for owners, architects, and subcontractors, ensuring accurate documentation and approvals
· Coordinate closely with Field Operations, Project Managers, and Superintendents to ensure labor, materials, and resources are properly aligned
· Perform regular jobsite visits to monitor progress, identify potential issues, and support project delivery
· Respond promptly and professionally to stakeholder questions, concerns, and issues, supporting positive client and vendor relationships
· Champion safety‐first culture, participating in safety meetings, training, and continuous improvement initiatives
· Continuously build construction and industry knowledge through internal training, professional development, and active project involvement
· Uphold core values, professionalism, and operational standards in all interactions and project activities
Preferred Experience
· Bachelor’s degree in construction management, Building Science, Engineering, or a related field (or equivalent experience)
· 5+ years of experience supporting commercial construction projects, preferably within a general contracting or construction management environment
· Solid understanding of commercial construction processes, sequencing, documentation, and industry standards
· Working knowledge of safety practices and regulations applicable to commercial construction projects
· Experience using construction project management software, including Procore, Microsoft Project, and/or Primavera P6
· Strong written and verbal communication skills, able to interact effectively with clients, architects, subcontractors, and internal teams
· Highly organized, detail‐oriented, and process‐driven, with the ability to manage multiple priorities and deadlines
· Self‐motivated and adaptable, comfortable working in a fast‐paced, deadline‐driven project environment
· Collaborative team player, capable of supporting leadership, coordinating tasks, and resolving issues professionally
· Sound judgment and decision‐making skills, with a commitment to quality, accountability, and continuous improvement
