Client Accounting & Business Management Associate (Bookkeeping)
About the Role
We are hiring a Business Manager & Bookkeeper for a CPA and advisory firm in Newport Beach, CA. This role blends client accounting, business management, and light executive support.
The ideal candidate has experience supporting high-touch clients (e.g., business management firms, family offices, or HNW individuals) and is comfortable handling both financial operations and day-to-day coordination.
This is a hybrid execution role:
- ~60–70% bookkeeping, client accounting, and financial operations
- ~10–20% partner support (calendar, coordination, logistics)
- ~10–20% client/business management tasks (vendors, scheduling, coordination)
Core Responsibilities
Client Accounting & Bookkeeping
- Perform accurate bookkeeping across multiple clients (AP/AR, reconciliations, journal entries)
- Manage month-end close and maintain clean, audit-ready books
- Prepare financial statements and basic management reports
- Assist with cash flow tracking, bill pay, and expense management
- Support payroll coordination and basic compliance filings (as applicable)
- Maintain organized financial records and documentation
Business Management & Client Support
- Coordinate vendors and service providers (e.g., property services, contractors, household staff)
- Assist clients with bill pay, scheduling, and operational logistics
- Track recurring obligations (subscriptions, renewals, licenses, etc.)
- Act as a point of contact for client coordination and follow-ups
- Help streamline and organize client administrative workflows
Partner & Operational Support (~10 hrs/week)
- Manage partner calendars and scheduling
- Coordinate meetings, appointments, and logistics
- Assist with light personal/admin coordination (appointments, services, etc.)
- Ensure follow-ups and priorities are tracked and executed
Workflow, Judgment & Communication
- Manage multiple priorities across clients and partners
- Communicate clearly and proactively with clients and internal team
- Identify issues early and propose practical solutions
- Operate with discretion and professionalism in high-trust environments
What Success Looks Like
A strong candidate will:
- Keep financials accurate, current, and well-organized
- Anticipate needs and proactively handle coordination tasks
- Reduce friction for partners and clients (things get handled without prompting)
- Balance competing priorities without dropping details
- Demonstrate strong judgment in both financial and non-financial tasks
Qualifications
Required
- 2–5 years of bookkeeping, client accounting, or business management experience
- Experience supporting multiple clients or stakeholders simultaneously
- Strong organizational and follow-through skills
- High discretion and professionalism (sensitive environments)
- Proficiency in QuickBooks or similar accounting platforms
- Strong communication and client service mindset
Preferred
- Experience in business management, family office, or high-net-worth client support
- Experience with bill pay, vendor coordination, or personal financial management
- Familiarity with tools like QuickBooks, Bill.com, Gusto, etc.
- Comfort operating in a hybrid accounting + operations role
