Maintain departmental records for sick leave, vacations, compensatory time off, and payroll. Assists other clerical staff as needed. This position is under the direct authority of the County Sheriff/Major/Lieutenant
The following duties are typical for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned
  • General bookkeeping and accounting
  • Billing attorneys for service of civil papers
  • Collection of unpaid fees - sending statements to attorneys for fees due that are late
  • Receiving all incoming monies, including civil collections and keeping all related records by cases in accordance with established policies and procedures
  • Maintain and pay mileage to civilian process servers
  • Billing subpoena mileage to county attorney's dept. and juvenile probation
  • Maintain records of monies received on garnishments and turn over to clerk's office
  • Maintain bank records and checking accounts
  • Maintain sick leave, vacation, and compensatory time records
  • Payment of bills for the entire department
  • Prepares and submits by-weekly payroll to Auditor
  • Assists Dictaphone transcriber with overload
  • Assists Dictaphone transcriber with card filing
  • Assists legal secretary with receiving, docketing, and distributing incoming civil papers
  • Bills city for prisoner care at city/county jail
  • Bills U.S. Marshall and Bureau of Prisons for Federal prisoners
  • Assists in transporting females and other matron duties
  • Assists Sheriff with departmental budget
  • Performs various other duties relating to scope of responsibility as assigned by the County Sheriff/Major/Lieutenant
  • Attendance is required
Minimum Education and Experience Required to Perform Essential Functions:
  • Must possess High School diploma or General Equivalency Degree (GED)
  • Ability to set priorities regarding assignments and follow through to completion
  • Specific knowledge of a body of rules or operations for a particular functional area or areas such as might be acquired in one (1) to three (3) years of prior related experience
  • Knowledge of bookkeeping
  • Knowledge of record keeping
  • Computer for data entry, spreadsheets and word processing, calculator (10 key), copier/scanner, possess .
  • Keyboarding skill test from Iowa Workforce Development with a 40 WPM (net score), within the last 12 months
  • Knowledge of speed writing, dictaphone transcription, typing
  • Telephone etiquette
  • Personal maturity to maintain emotional stability in unusual situations of stress or social interaction pressure.
