Chief Financial & Administrative Officer (CFAO)
Position Summary
Miami based hedge fund is seeking a Chief Financial & Administrative Officer (CFAO) to oversee the firm’s financial stewardship, operational infrastructure, and administrative scalability as the organization continues to mature. This role is designed to serve as the operational and financial backbone of the firm ensuring that the infrastructure supporting the investment platform is disciplined, scalable, and aligned with the organization’s long-term objectives. The CFAO will report to the Founder/CIO and partner closely with the COO, Legal & Compliance leadership, and other senior stakeholders to strengthen organizational effectiveness while preserving the agility and culture of the firm.
Core Responsibilities
Financial Leadership
● Oversee the firm’s financial operations, budgeting processes, forecasting, cash management, and financial reporting
● Ensure appropriate financial controls, operational rigor, and reporting discipline across the organization
● Partner with external accounting, audit, tax, and advisory partners as needed
● Provide executive leadership with clear financial insights to support business decision-making
● Develop scalable financial processes appropriate for a growing institutional investment platform
Investor & Fund-Level Finance
● Oversee fund accounting and financial reporting at the fund and management company level, including NAV oversight in coordination with the fund administrator
● Support investor relations through preparation of capital account statements, financial schedules, and responses to investor due diligence questionnaires (DDQs) on operational and financial matters
● Serve as a key point of contact for institutional investors and allocators during operational due diligence reviews, representing the firm's financial controls and infrastructure
Regulatory & Tax Compliance
● Coordinate annual audit processes and oversee timely completion of fund and management company tax filings in partnership with external advisors
● Collaborate with Compliance Department on the preparation of regulatory reporting obligations and applicable state and federal registrations, ensuring accuracy and timeliness
● Monitor evolving regulatory requirements applicable to the firm and proactively address compliance obligations in coordination with Legal & Compliance leadership
Treasury & Banking Relationships
● Manage the firm's banking and treasury operations, including management company accounts, cash positioning, and liquidity oversight
● Maintain and develop institutional banking relationships; evaluate and manage credit facilities, lines of credit, and other financing arrangements as appropriate for firm operations
Insurance & Enterprise Risk Management
● Own the firm's insurance program, including D&O, E&O, cyber liability, and key-man coverage, ensuring policies are appropriately structured and renewed as the firm grows
● Identify, assess, and mitigate enterprise-level operational and financial risks; maintain a risk register and escalate material risks to senior leadership as appropriate
Approvals & Signatory Authority
● Assume primary signatory authority for firm expenditures, vendor contracts, and financial commitments, including approvals currently held at the senior leadership level
● Review, approve, and countersign operational agreements, service provider engagements, and related firm commitments within delegated authority thresholds
● Establish and maintain an internal approval framework that ensures appropriate controls, accountability, and audit readiness across financial and operational activities
Real Estate & Office Operations
● Coordinate with partners on firm's real estate footprint, including lease negotiations, renewals, and office build-outs, ensuring facilities are appropriately scaled to support organizational growth
● Oversee physical office operations and related vendor relationships, maintaining a work environment that supports productivity, security, and the firm's professional standards
Entity & Fund Structure
● Support the management company and GP entity governance, including maintenance of corporate records, operating agreements, and related documentation
● Partner with the Founder/CIO, COO, and legal counsel on entity structuring decisions related to new fund launches, separately managed account buildouts, and other strategic initiatives
Ideal Background
● Minimum of 15 years of progressive financial and operational leadership experience, with at least 10 years in a senior or executive capacity
● Senior financial and operational leadership experience within an investment management, hedge fund, family office, or similarly sophisticated financial services environment
● Demonstrated experience building scalable operational infrastructure within entrepreneurial or founder-led organizations
● Strong executive judgment and ability to operate effectively in high-trust, high-accountability environments
● Experience navigating complex organizational dynamics and evolving leadership structures
● Ability to balance strategic thinking with operational execution
● Strong communication, prioritization, and stakeholder management skills
