The Assistant to the Dean provides administrative and operational support for the Libraries and the Tutoring and Learning Center Services. This includes direct support to the Dean of Academic Support and Learning Resources as well as support reaching students, faculty, staff, and community members.Thepositioncollaborateswithmultiplelevelsofleadershipanddepartmentsacross the college and within community settings.To perform this job successfully, an individual must be able to perform the essential job functionssatisfactorily.Reasonableaccommodationsmaybemadetoenableindividualswith disabilities to perform the primary job functions herein described.
*Provides administrative support to Dean and serves as a main operational point of contact for internal and external partners
*Evaluates requests and determines the appropriateness and necessity of Dean involvement, redirect matters as appropriate and follow through to ensure timely resolution
* Serves as departmental Travel Coordinator to support staff travel, reimbursements, and ensuring compliance with institutional policies and deadlines
*Maintains the Dean's calendar and schedule and drafts, edits, and reviews correspondence, presentations, and reports
*Tracks life cycle of purchases with documentation and reconciliation and facilitates departmental purchases via invoice, P-Card, and internal ordering systems
Provides support as frontline staff for the Academic Support and Learning Resources division
Responds to information via telephone, email, walk-in, and online sources
Compiles and maintains Library and TLC data for reports
Maintains and reconciles the division's budgets and purchases ensuring deadlines are met
Assists with coordination and staffing of Library and TLC events
Leads onboarding for new staff in collaboration with supervisors
Resolves conflicts with schedules, equipment, space, and supplies
Knowledge, Skills & Abilities:
Proficiency with Microsoft 365 products including MS Teams, Forms, Outlook, and SharePoint
Knowledge of budgeting and data management
Excellent organizational, communication, and prioritization skills
Strong interpersonal skills and ability to collaborate across in-person and virtual teams
Advanced proofreading and editing skills
High degree of personal initiative and self-motivation
Ability to travel between campuses and community sites as needed
Ability to lift and carry up to 25 pounds and push and pull up to 50 pounds
Ability to work a flexible schedule to oversee events support sponsored events on days, evenings, and occasional weekends
Requirements:
High school diploma or equivalent
Two years’ experience providing administrative or operational support in an office setting
Valid Driver's license and approval required by the College's liability insurance carrier
Preferences:
Associate degree or higher
Experience with data management and visualization tools
Experience in a community college setting
