Position Overview

Law firm seeking a highly organized, detail-oriented, and proactive Assistant Firm Administrator

to support day-to-day operations. The qualified candidate will assist with a broad range of

administrative and operational functions, provide support to administrative personnel and

Partners, and help implement firm processes and initiatives.

Key Responsibilities

  • Manage day-to-day administrative and operational functions at multiple Firm locations in Florida from our Tallahassee office
  • Support financial processes including budgeting, billing, payroll, and expense management
  • Assist with human resources activities such as recruitment, onboarding, benefits administration, and performance management
  • Handle delegated facilities management functions, including coordination of office maintenance, repairs, and renovations; liaise with building management and vendors; ensure compliance with safety and accessibility standards
  • Assist partners with strategic planning and implementation of firm initiatives
  • Help develop and maintain office policies and procedures
  • Coordinate logistics for special functions and office events
  • Support procurement of supplies, equipment and other purchases
  • Perform general administrative duties as assigned by Firm Administrator

Qualifications

  • Bachelor’s degree in business administration, management, or a related field (preferred)
  • Proven experience in office administration, operations, or administrative leadership (law firm or other professional office experience strongly preferred)
  • Strong numbers sense and organizational skills
  • Effective communication and interpersonal abilities
  • Proficiency in office management software (Tabs3 billing software experience preferred)
  • Ability to handle confidential information with discretion
