Assistant Director of Advising Technology

The Georges Student Center seeks to hire an Assistant Director of Advising Technology. This is an excellent opportunity for someone who cares deeply about supporting students and believes that technology can play an important role in doing so.

Stellic is an advising support platform that the University began implementing in 2023 as part of an effort to improve the advising experience for students. This position will work as part of a cross‑unit team that collaborates closely to support the adoption and effective use of Stellic across the University. While the initial implementation is complete, the team continues to focus on supporting usage, improving adoption, and implementing additional functionality.

The Assistant Director of Advising Technology will focus on areas of the system that relate to advisors’ interactions with students; the policies that shape the flow of information within the system; onboarding and supporting advisors; and assessing the system’s use and effectiveness.

This work requires a high level of collaboration, proactive communication, forward thinking, and attention to detail. The broader team includes staff in Information Technology Systems (ITS) and the Office of the University Registrar (UREG), and the role involves frequent collaboration with colleagues in the schools, Student Affairs, and the vendor.

The Assistant Director will work closely with teams in the schools and central units to understand their unique operational practices and determine how Stellic’s tools can best support those needs. The position also has primary responsibility for the maintenance and development of effective training materials.

While communication with collaborators and stakeholders is a significant component of the role, other aspects of the work require the ability to operate independently on tasks that demand precision and careful attention to detail.

Responsibilities

  • Partner with advisors, departments, and students to evaluate current practices, identify friction points, and pursue system-enabled process improvements to enhance user experience and efficiency
  • Collaborate and proactively communicate with partners in ITS, UREG, Student Affairs, and schools to align troubleshooting, updates, user-facing communications, and needed improvements
  • Develop and maintain comprehensive training programs, job aids, and support documentation that empower users to navigate the system confidently and independently
  • Provide project management support, assisting with project planning, status updates, risk and issue management, problem resolution, and project scheduling
  • Communicate frequently with the vendor about identified needs, opportunities, and forthcoming updates
  • Deliver responsive, professional support through timely resolution of tickets and proactive user communication
  • Present system updates, best practices, and process improvements to advisors, faculty, administrators, and student audiences, strengthening institutional understanding and adoption of advising technologies
  • Analyze and implement in the system any needed changes related to policy or procedure with relevant colleagues
  • Serve on governance committees and working groups focused on advising technology and student success initiatives, contributing expertise to institutional decision-making and long‑term planning
  • Produce reports and contribute to relevant assessment efforts
  • Maintain and update the Stellic@Virginia website to ensure accurate, accessible, and user-centered information for the university community

Minimum Qualifications

  • Education: Bachelor's degree
  • Experience: 2+ years of relevant professional experience, to include experience with instructional design, teaching, or training program development, and experience developing digital training or teaching materials

Preferred Qualifications

  • Education: Master’s degree
  • Experience: Four years of relevant experience
  • High level of comfort learning new technology and empowering others to use it
  • Experience with public speaking, especially to deliver training in person and/or online (ie, via Zoom), as well as strong meeting and committee facilitation skills
  • Ability to communicate clearly both orally and in writing
  • Must be able to work independently to set and meet deadlines
  • Ability to serve in both leadership and support roles effectively
  • Ability to map processes and analyze implications of changes
  • Organized, precise, and attentive to details
  • Excellent notetaking and documentation skills
  • Be adaptable to changing needs and practices
  • Experience with project management or system implementation
  • Previous experience working closely with systems like complex databases, digital communications platforms, or CMS
  • Experience working in higher education
  • Knowledge of advising practices
  • Experience with customer support
  • Knowledge of assessment design

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

The anticipated hiring range is $84,000-$88,000, commensurate with education and experience.

This position is based in Charlottesville, VA, and has the opportunity to work remotely for a portion of the time, estimated to be 40-60 percent. The employee will need to reside in the greater Charlottesville area, however, as some presentations and meetings will be in-person. The employee will be responsible for commuting expenses. A laptop will be provided.
