About the role:
This role is temp to hire, fully in office for the first 90 days. Transition to hybrid after that. The core duties and responsibilities of this Sr. Associate role are to support the company and the two regional Asset Management teams. Prior experience working in a commercial real estate firm is preferred but not required. Must be proficient reviewing numbers and have basic mathematical skills. Office Administration experience including a high proficiency in Microsoft Office applications such as Word and Excel is required.
Essential Job Duties:
All the below responsibilities are performed under the guidance of a regional Director:
- One of the main roles for this position will be to review, track and administer Capital. Expense Approval Packages from our third-party Property Managers. The review is to ensure that all of the required documents are included and completed accurately.
- Manage and update Outlook contact groups.
- Assist with processing New Vendor Set Ups.
- Review our Work Order Maintenance system for service contract expirations.
- Coordinate technology platform Access Requests & Cancellations and audit used lists in non-Yardi platforms quarterly (i.e., Impak).
- Provide lease documents to outside attorneys as requested.
- Process a limited number of invoices for payment in our A/P Accounting system.
- Update rent statement distribution list monthly.
- Periodically audit Property Manager’s compliance of various filing system requirements (Impak & Box).
- Send out reminders to Property Managers for upcoming deadlines.
- Quarterly transmittal of lease option report and rent roll to all brokers.
- Coordinate calendars for monthly management meetings, leasing calls, legal calls andother calendar coordination as needed.
- Assist with various ad hoc projects as required (correspondence etc.)
- Obtain and transmit legal fee accruals to corporate accounting and Property Accounting quarterly.
- Review variance and delinquency reports upon receipt from Property Managers to confirm all required explanations have been entered and distribute to regional teams.
- Distribute regional mail as needed.
- Filing as needed (electronic).
Minimum Qualifications:
- Minimum two years’ experience, preferably in a commercial real estate setting.
- Excellent computer skills, including a high degree of proficiency in MS Word, Excel, and Outlook.
- Outstanding organizational skills and ability to process multiple projects through to completion.
- Superior communication skills, both written and verbal, as well as excellent reading and comprehension skills.
- Proficient ability to detect errors and high level of attention to detail.
- Ability to self-motivate and manage one’s time.
- At times, must be flexible with work hours in order to meet deadlines for special projects.

- Yardi P2P Accounts Payable software
- Concur expense reimbursement software
- Familiarity with Property Management for Medical Commercial Office Space
- Impak and Yardi Facilities Manager work order software
