JOB SUMMARYAdminister/follow various Federal, State, and District registration policies, guidelines, and regulations for the enrollment of all students in the District and the maintenance and archival of all students’ official student records. Disseminate student admissions and student records information provided by parents/guardians, schools, other school districts, and universities. Process student records requests and verify proper authorization and identification.

ESSENTIAL DUTIES AND RESPONSIBILITIESThe subsequent duties outline the fundamental operations of the position and exemplify the nature of the tasks carried out. 1.

Register all new students into the Student Information System (SIS), PowerSchool, and additional databases that provide the necessary student and family information. Audit the information provided and make any necessary edits to ensure data accuracy. Daily 20%

2.

Verify authenticity of legal documents that are presented to establish eligibility of a pupil to attend the district schools. Examine lease contracts, deeds of trust, warrant deeds, and purchase contracts to determine residency. Collaborate on guardianship, home study, foreign and exchange students, and co-residency and emancipated students. Daily 10%

3.

Disseminate information to process reactivated students, withdrawn students, change of addresses, alternate mailing addresses, School of Choice requests, intradistrict transfers, and Non-Residents requests into the Student Information System and PowerSchool. Daily 10%

4.

Ensure the data integrity of student information in both the Student Information System and Colorado Department of Education Record Integration Tracking System (RITS). Daily 10%

5.

Maintain the confidential, permanent student records for all students in compliance with Federal, State, and District guidelines. Process, append, purge, and archive all student records. Receive and process requests for student records upon proper authorization and identification. Weekly 20%

6.

Manage the Education Verification requests for all former students. Review all requests for proper authorization and research the student records to verify the successful completion of their K-12 education. Weekly 5%

7.

Advise the community on all District boundaries and attendance areas. Add new addresses into the Student Information System. Weekly 5%

8.

Serve as a backup District liaison to military families required to live on base at Buckley Space Force Base (BSFB) in matters relating to school. Facilitate communication and understanding between families, school, the district, and the community. Coordinate with the BSFB School Liaison Officer to assist families as needed. Welcome and support active military families and assist with the student registration and school choice. Monthly 5%

9.

Support all summer school programs with communication, registration, hiring, website updates and processing payments for student participation  Annually 10%

10.

Perform other duties as assigned or requested. Daily 5% TOTAL 100%

REPORTING RELATIONSHIPS: This job has no direct supervisory responsibilities.

MINIMUM QUALIFICATIONS: The minimum prerequisites of formal education, professional work experience, certifications, licenses, endorsements, designations, trainings, and other criteria that a candidate must fulfill to be considered for a position. It is essential that certifications, licenses, endorsements, designations, and trainings are fulfilled, valid, and not expired.

  • Criminal background check and fingerprinting required
  • High School Equivalency (HSE) diploma
  • One (1) year of Administrative assistant/clerical, accounts payable, accounts receivable, banking/loan servicing, bookkeeping, or School Support Para-Educator experience 
  • Basic knowledge of typical office equipment such as telephones, copiers, fax machines, email, etc.
  • Basic knowledge of Microsoft Office
