Admissions and Operations Specialist Organizational Background The Independent School Alliance is a leading organization in private school adm issions counseling and placem ent. Position Summary The Admissions and Operations Specialist plays a vital role in advancing the m ission of The Independent School Alliance by supporting the adm issions process, guiding prospective fam ilies, and m aintaining accurate and tim ely com m unication w ith students, schools, and com m unity partners. Reporting to the M anager of Adm issions and Executive O perations, this full-tim e salaried position m anages all aspects of applicant files, review s and evaluates applications for com pleteness and eligibility, and coordinates w ith fam ilies to ensure prospective students m eet all adm issions criteria and deadlines. This role requires m aintaining accurate and detailed records of student applications, decisions, and correspondence, w hile also assisting w ith outreach, recruitm ent, and data reporting across ISA’s m em ber schools. Responsibilities include: Outreach and Admissions Coordination ● M aintain adm issions data and reports using Blackbaud; proficiency in or the ability to quickly learn the platform is essential to effectively m anage applicant inform ation and ensure system -w ide accuracy. ● M anage all aspects of assigned candidate files, review ing applications for com pleteness, eligibility, and accuracy, and ensuring all supporting docum entation— such as transcripts, recom m endations, test scores, and financial aid records— is received and properly filed. ● Support the adm issions process by supporting prospective fam ilies from inquiry through placem ent, providing tim ely and accurate inform ation. ● Assist the M anager of Adm issions and Executive O perations w ith m aintaining com m unication w ith candidates, fam ilies, and partner schools. ● Cultivate and m aintain relationships w ith all referral sources, feeder schools, consultants, agents, alum ni, and current fam ilies as directed by the M anager of Adm issions and Executive O perations. ● Assist in the developm ent and im plem entation of adm issions procedures and com m unications w ith candidates seeking entrance to the Independent School Alliance. ● M aintain accurate and organized candidate files, ensuring confidentiality and data integrity. ● Collaborate w ith feeder schools, consultants, and com m unity partners to support recruitm ent and referrals as directed by the M anager of Adm issions and Executive O perations. ● Collaborate w ith the adm issions team to plan and execute recruitm ent activities, including attendance at fairs, inform ation sessions, and school visits. ● Generate adm issions and placem ent reports as requested by the M anager of Adm issions and Executive O perations. Family Engagement & Counseling Support ● Serve as a w elcom ing and inform ed point of contact for fam ilies, schools, and com m unity partners as needed. ● Provide general counseling and support to fam ilies new to the independent school process, helping them understand school options and financial aid opportunities. ● Assist w ith scheduling interview s, tours, and school visits for students and parents. ● H elp m aintain consistent follow -up w ith fam ilies throughout the application cycle. ● Support com m unication efforts to ensure fam ilies rem ain inform ed, encouraged, and connected. Administrative & Operational Support ● Provide adm inistrative support to ensure adm issions and operations run efficiently. ● Track and organize invoices, paym ents, and expense reports. ● Assist in the preparation of brochures, presentations, and other adm issions m aterials. ● M aintain digital and physical filing system s for adm issions docum ents. ● Support the planning and execution of fam ily and school-related events. ● Coordinate w ith internal departm ents to ensure sm ooth data sharing and reporting. ● Perform other duties as assigned to support ISA’s m ission and the w ork of the adm issions team . Required Education and Qualifications ● Bachelor’s degree required; M aster’s degree preferred. ● Tw o to three years of experience in adm issions, college counseling, or educational access program s. ● Proficiency in Google Suite, M icrosoft O ffice, CRM or database system s (including Blackbaud), and digital com m unication tools. ● Exceptional organizational skills and strong attention to detail. ● Excellent interpersonal, w ritten, and verbal com m unication skills. ● Ability to w ork both independently and collaboratively w ithin a team . ● D em onstrated com m itm ent to diversity, equity, and inclusion, and experience w orking w ith students of color, prim arily African-Am erican and Latinx populations. ● Spanish fluency in speaking, reading, and w riting is preferred. ● Flexibility to w ork occasional evenings or w eekends for recruitm ent or fam ily events.
