The Department of Adult and Juvenile Detention’s Juvenile Division is seeking highly skilled candidates for an Administrator I to perform a variety of administrative services for the Juvenile Division Health Clinic. The incumbent will independently handle a variety of daily administrative duties and projects to ensure smooth operation of the clinic including scheduling and maintaining payroll, licensure, and onboarding for clinic staff; maintaining a variety of equipment and systems; and acting as the point of contact for the health clinic for both internal and external customers. The successful candidate, at a minimum, will demonstrate skill or ability to:

  • Perform scheduling for all nurses and medical assistants assigned to the clinic and maintain clinic calendars.Track health clinic contractor schedules, including call-outs, leave usage, and coverage gaps.
  • Provide administrative support for the clinic leadership team, serve as a member of the Juvenile Division Administrative Support team, and provide backfill for Administrative Support positions across the Juvenile Division of DAJD.
  • Model and provide exceptional customer service to internal and external stakeholders.
  • Ensure timely and accurate processing of contract invoices and payroll for health clinic staff.
  • Support the ongoing success of the Medicaid Reentry Program by monitoring performance measures and implementing continuous improvements to ensure timely access to Medicaid coverage and continuity of care.
  • Lead effort related to Medicaid eligibility verification and information-sharing across providers; provide support to clinic staff and contracted providers to ensure Medicaid billing requirements are met.
  • Build and maintain strong collaborative relationships with court partners, Managed Care Organizations (MCOs), and other stakeholders to streamline Medicaid reentry processes.
  • Develop and maintain organized, accurate, and accessible records and filing systems containing sensitive medical records. Prepare, redact, and release patient charts in response to public disclosure requests.
  • Maintain security and confidentiality of highly sensitive communications and information in all forms (i.e., written, verbal, and electronic); ensure HIPAA compliance with patient information.
  • Coordinate and administer onboarding for new employees to the Health Clinic; ensure clinic employees have on-going and appropriate access to systems and required training.
  • Inventory, order, collect, and distribute clinic supplies and equipment.
  • Coordinate annual inspections, calibrations, and preventive maintenance for medical equipment and devices; maintain compliance documentation.
  • Perform additional duties and special projects as assigned within the scope of the Administrator I classification.

MINIMUM QUALIFICATIONS:

  • Four (4) years full-time office/administrative/clerical experience.
  • Demonstrated experience with components of healthcare insurance billing such as registration, eligibility verification, scheduling, coding, and provider enrollment.
  • Proficiency utilizing Microsoft Word and Outlook, intermediate proficiency with Excel; experience working with database systems and strong database management skills (e.g., understanding how data is entered, stored, and retrieved).
  • Experience maintaining confidentiality and security of sensitive information.
  • Experience in planning, organizing, and prioritizing multiple work assignments, taking initiative, and adapting priorities independently with minimal supervision.
  • Demonstrated ability to maintain a professional demeanor and provide timely and reliable customer service.
  • Strong oral and written communication skills. Ability to communicate professionally, diplomatically, and tactfully using a variety of communication methods.
  • Desire to work in a collaborative team environment and apply a growth-minded approach to projects and new initiatives.

MOST COMPETITIVE:

  • Experience performing complex administrative functions in a healthcare setting.
  • Demonstrated experience using Epic Practice Management applications Prelude and Cadence
  • Demonstrated knowledge of Washington state Medicaid client eligibility, programs and billing requirements
  • Experience working in a professional setting that serves youth and families.
  • Working knowledge of King County and DAJD correspondence, records management, and public disclosure procedures.
  • Ability to type 50 words per minute.
  • Advanced skills in Microsoft Word, PowerPoint, Outlook, Excel, SharePoint, and Access with demonstrated experience working with complex computer programs and database systems.
  • An understanding of the principles of trauma-informed care and the ability to integrate these principles into job duties when applicable.

ADDITIONAL REQUIREMENTS:Candidates for this position may be required to complete skills testing.

WORK LOCATION: The individual selected for this position will work within a secure juvenile detention setting and will be assigned to the Patricia H. Clark Children and Family Justice Center located at 1211 E. Alder Street in Seattle, WA.

WORK SCHEDULE:This position has a 40-hour work week and is overtime-eligible. Standard work hours are Monday through Friday, 8:00 am – 5:00 pm.
