This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health (OMH), Coastal Empire Mental Health Center (CEMHC), 65 Forest Drive
Varnville, SC 29944.

As the Administrative Specialist, working under direct supervision of the Area Coordinator, you will perform receptionist and other administrative duties in support of staff in the assigned clinic of Coastal Emplire Mental Health Center.

Responsibilities for this Administrative Specialist II:

  • Responsible for centralize scheduling for psychiatrists and all other mental health professionals; make reminder calls; process intakes; answer phones and direct calls; distribute mail, fax and all correspondence; create and mail client correspondence; maintain office equipment & inventory; disperse compassionate medication and maintain medication log; update client insurance information annually and ensure updates annual electronic signatures are captured.
  • Responsible for annual client financial reviews; batch and routes all accounts receivables; update daily cash log; import document into EMR; update ClS; complete all ticket corrections, charges and paybacks; maintain and post financial data to ledgers, collection of payments, and complete deposit transactions daily; encourage clients to make payments on account.
  • Responsible for completing various service request; ensure all documentation is provided at initial appointment; maintain all client records; manage all information in EMR and ClS according to SCOMH, Medicaid/Medicare, QA and CARF policies and procedures and in adherence to HIPPA guidelines.
  • Perform duties of both Administrative Specialist position in absence of other support staff, covering for lunch schedules and any type of leave.
  • High school diploma and one (1) year of clerical experience; or an associate degree in secretarial science or other related field; or related clerical experience that may be substituted for a high school diploma.

  • Bilingual abilities in English and Spanish (or another language) are a plus.

Post hire, employees must:

  • Have knowledge of office management policies, practices and procedures.
  • Have working knowledge of the care and operation of standard office equipment & machines.
  • Have the ability to work independently and maintain filing systems collect, compile and assemble information
  • Maintain effective working relationships with staff and public
  • Be able to pass Managing Agitation in the Psychiatric Setting (MAPS) Certification.
