POSITION SUMMARY
The Administrative Specialist II works under general supervision and is responsible for typing and providing administrative and clerical support to supervisory and professional staff. This position is governed by agency/institution policy.

This is a 12-month, 40 hours per week, non-remote position. If not residing in Magnolia or surrounding area, relocation is required.

ESSENTIAL FUNCTIONS
Essential Functions Statement(s)
•Perform the normal clerical duties of a secretary/receptionist (go to Post Office to pick up mail, distribute mail to staff, answer phone, run copies, make folders, scan tests, file, fax, change toner in fax machine and copier, call for maintenance when copier needs it, etc.)
•Act as assistant to Coordinator and Director to schedule meetings, arrange appointments, manage calendar, and transcribe staff/advisory minutes.
•Conduct intake, orientation, and initial/post assessments for students
•Serve as Data Entry Specialist for location (enter/verify data student attendance, TABE assessments, GED/GED Ready Scores, Credentials, WAGE Certificates, etc., run reports, and monitor testing/attendance alerts).
•Administer and Proctor GED exam (Perform duties as main GED examiner)
•Create and maintain student office files.
•Become and remain informed on program policies and procedures of the adult education.
•Participate and assist in recruitment and retention of clients (make packets of flyers, setup tables for festivals and presentations, call students, etc.)
•Assist with graduation.
•Maintain and conduct yearly inventory.
•Order and maintain office supplies.
•Train new staff on office procedures
•Performs related responsibilities as required or assigned.


SKILLS & ABILITIES
Education : High School Graduate or General Education Degree (GED)

Experience : Two to three years related experience
