Capitol Annex Building in Baton Rouge, LA.This position provides administrative support and assists in community outreach, project management, event management, and assists in special projects. Job Duties:- Conducts early research and assessment and makes recommendations for partnerships and funding opportunities to the executive director.
- Represents ANHA at public speaking engagements, workshops, and conferences as needed.
- Assists the executive director with all external organization and vendor needs, including but not limited to: group participation, grant proposal organization, daily communications, community technical assistance, and event coordination.
- Works with executive director and assistant director to forge new relationships with other external stakeholders – including but not limited to: cultural groups, federal entities, and municipalities – to build the ANHA’s visibility, impact, and financial resources.
- Works with the assistant director to develop content for media/marketing for ANHA communications.
- Coordinates project activities by scheduling work assignments and setting project priorities.
- Organizes and conducts routine project management meetings during project development with ANHA staff.
- Maintains and monitors the master calendar, which tracks the dates and times of all functions related to the ANHA, including functions hosted by allied organizations and internal partnered departments.
- Works with the executive director and assistant director to develop promotional materials for the ANHA and allied programs as needed.
- Promotes interest and provides information regarding partnered/sponsored organizations’ events and missions to the public.
- Performs duties related to the operation, coordination, and management of the following functions:
- Inventory of promotional items
- Purchasing of promotional items
- Records management
- Fiscal management
- Telecommunications
- Coordinates program information by maintaining databases, generating reports, and ensuring information integrity; may require presentation of information in workshops, meetings, etc.
- Coordinates and supervises special projects, as assigned.
- Maintains records, reports, and correspondence relative to each project and provides data to the assistant director and executive director as needed.
- Writes reports, corresponds, and/or assembles other administrative data as directed by the assistant director and/or executive director.
- Performs other duties as assigned.
Position-Specific Details:- Appointment Type:This position will be filled as a Job Appointment. In the event that funds become available for a permanent position, the employee may be converted to a probational appointment.
- Work Schedule:This is a full-time position that reports in-office. Position may be required to work evenings, weekends, holidays, and/or overtime. This position may be required to travel.
