This position will provide accurate and timely administrative and financial support to the agency by managing daily revenue processes
  • Maintains revenue records for all funds and divisions which includes the balancing and processing of deposits and reconciling all accounts for daily work transacted.
  • Ensures that deposits are accurate and deposited daily. This includes daily reconciliation of electronic deposits from online filing systems.
  • Reviews revenue information and evaluations for accuracy.
  • Performs all aspects of the accounts payable function and process invoices for payment in compliance with the Secretary of State's Office and Comptroller General (CG) policies and procedures. Invoices should be scanned into SCEIS when received and processed for payment once all approvals are received or goods receipts are completed in SCEIS.
  • Serves as agency procurement specialist. Creates monthly shopping carts for agency/division office supplies.
  • Runs agency outgoing mail daily.
  • Provides backup to agency receptionist with breaks, lunches, and other leave situations.
  • Provides assistance processing corporate documents for the corporate section of the Business Filings division. This includes checking documents for accuracy and returning rejections for corrections.
  • Assists in various administrative duties as requested by the Secretary of State, Deputy Secretary of State, Director of Administration, and General Counsel.
A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.

Additional Requirements: Knowledge of the principles of accounting. Must possess strong computer skills. Have the ability to communicate effectively with internal and external customers. Must be detailed oriented.Working knowledge of SCEIS applications.

Employment in this position will be contingent upon the following:

  • The starting salary for this position will be $58,500.00 - $61,500.00, depending upon experience.
