Nature of Work:

The Administration Coordinator (AC) coordinates the administration and reporting of administrative services including travel, fleet, timesheets, letters of request, and other activities. The AC interacts with agencies and employees on program administration, funding, and interpretation of policies and program guidelines. The AC coordinates, secures, and manages data related to Administration programs. The AC is responsible for fiscal reimbursement tracking. The AC performs administrative work in providing support services to agency staff. The AC performs work as required and other duties as assigned.


Work Environment:

This position operates in an indoor office environment, sitting, standing, walking, using a computer and other office equipment, performing calculations, and communicating orally and in writing. Some travel with overnight stays is required.


Examples of Work:

  • Manages WVCA state vehicle fleet as the designated Agency Vehicle Coordinator, including coordinating assignments, maintenance, repair, replacement, and surplus as required to accommodate staff and program needs; auditing and finalizing payment of monthly fleet invoices and driver records and reporting as required by WV Code. Coordinates with both WV Fleet Management Division and ARI Fleet Services.

  • Maintains employee driver license file for use in both fleet and travel coordination.

  • Reviews and enters employee travel reimbursement into wvOASIS.

  • Reviews biweekly timesheets for all WVCA employees for final submission for payroll.

  • Runs specialized reports from timekeeping system including leave, overtime, and other reports.

  • Assists employees and managers with timekeeping questions and issues.

  • Will Enter invoices into wvOASIS by IN, GAX or IET as required.

  • Books travel accommodations using ghost travel card for WVCA administrative and other staff, as needed.

  • Completes monthly P-card and ghost travel card reconciliations.

  • Assists with maintenance and tracking of fixed assets.

  • Performs uniform control to include stock inventory, purchase requests, and distribution.

  • Assists with preparation or review of meeting materials as requested.

  • Deposits paper checks as received in the mail.

  • Reconciles cash receipts monthly for programs administered by WVCA.

  • Answers phone and directs mail.

  • Receives and distributes shipments, also tracks deliveries by using receiving reports, and database entries as required.


Required Knowledge, Skills, and Abilities:

  • Knowledge of fleet reporting requirements.

  • Knowledge of state P-card and ghost card processes.

  • Knowledge of fundamentals of accounting as applied to public administration.

  • Skill in oral and written communications.

  • Ability to collect and compile accurate information.

  • Ability to main confidentiality in collection of driver/employee personal information.

  • Ability to establish good public and co-worker relations.

  • Ability to prepare written reports pertaining to financial status and progress in a clear, concise form.



Additional Requirements:

  • Dependable transportation and valid driver’s license.

  • Physical ability to lift and maneuver 40 lbs.

  • Pre-employment drug and alcohol testing.

  • Pre-employment law enforcement background investigation


Education:Bachelor’s degree from an accredited college or university with a major in business administration, public administration, accounting, statistics, economics, finance, public policy analysis or related field.


Experience: One (1) year full-time paid experience in accounting related field.


Education Substitution:Associate degree from an accredited college or university in a related field and four (4) years of full-time paid experience in the area of assignment. The Education Substitution years of experience must be in addition to the required Experience.
