We are seeking a highly organized and detail-driven Administrative Coordinator 4 to support daily operations, procurement, property control, and maintenance coordination within a fast-paced secure-care environment. This role is essential to keeping the facility running smoothly — from purchasing and vendor coordination to fleet oversight, inventory management, and administrative support for leadership and maintenance teams.

As a key member of the administrative team, you will manage purchasing activities, track work orders, maintain compliance with state property and fleet regulations, and ensure accurate documentation across multiple operational systems. You’ll play a vital role in supporting staff, coordinating resources, and maintaining the structure and efficiency needed to meet agency standards.

We’re looking for a dependable professional with strong communication skills, excellent attention to detail, and the ability to manage multiple priorities while ensuring accuracy, compliance, and exceptional administrative support.

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.The official job specifications for this role, as defined by the State Civil Service, can be found here.Job Duties:
  • Procurement & Purchasing Create and maintain purchase requisitions, orders, and contracts; obtain vendor quotes; ensure accurate data entry; monitor LaCarte purchases; maintain and audit procurement files.

  • Administrative Support & Maintenance Coordination Provide administrative support to leadership and the Maintenance Department; enter and track work orders; prepare agendas, memos, and reports; coordinate meetings and trainings; manage purchase requests; serve as liaison with vendors and Central Office.

  • Property Control & Fleet Management Serve as Property Control Manager for the secure care campus; conduct inventory reviews, audits, surplus processes, and annual certifications; maintain property and fleet records; ensure vehicles receive scheduled maintenance; submit logs and documentation in LPAA systems; support compliance and required trainings.
