The Office of Juvenile Justice is seeking a detail-oriented and dependable Administrative Coordinator 3 to provide essential clerical and program support to the Regional Office. This role supports daily operations through effective communication, accurate documentation, and strong coordination with agency departments, contracted providers, and community partners.

You will assist with client support, scheduling, mail processing, and administrative communication while maintaining accurate payroll and timekeeping records, managing office supplies, and supporting managers with calendars, travel, and reporting needs. The position requires strong organizational skills, professionalism, and the ability to handle multiple priorities in a fast-paced environment.

This role is ideal for someone who excels in multitasking, communication, and maintaining smooth administrative operations that support the mission of the Regional Office.

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.The official job specifications for this role, as defined by the State Civil Service, can be found here.Job Duties:
  • Perform essential clerical and program support duties, including multi-line phone coverage, mail processing, scheduling, and client assistance for the Regional Office.

  • Serve as a liaison between agency departments, contracted providers, vendors, and community partners; prepare and route referral packets and transfer case records.

  • Reconcile monthly invoices from contracted providers, track service usage, and enter data into automated systems.

  • Coordinate payroll and timekeeping for regional staff, including leave tracking, FMLA, overtime, and attendance accuracy.

  • Manage purchasing requisitions, maintain office supply inventory, and conduct equipment/supply counts.

  • Support managers with calendars, travel arrangements, report preparation, and administrative tasks; oversee closed-file maintenance and annual purging.

  • Compile information from multiple sources to prepare specialized reports and complete additional duties assigned by the District Manager or Administrative Coordinator 4.
