Administrative Assistant to the Associate Dean

The Administrative Assistant to the Associate Dean provides essential administrative services to the Office of the Associate Dean. He or she upholds and embodies the values and commitments of Beeson Divinity School and Samford University, providing courteous, competent, and organized assistance to the Associate Dean in his various roles. This person handles extremely confidential documents, files, and records, and is expected to exercise discretion and observe confidentiality regarding these matters. The Administrative Assistant must maintain high professional standards in the operations of the Associate Dean’s office, serving as a gracious host to all guests.
  • Provide support for the Associate Dean in all areas of his work related to the leadership and administration of Beeson Divinity School
  • Maintain accurate and functional files, including those related to personnel, students, job applicants, course evaluations, and accreditation, ensuring the security and confidentiality of sensitive information
  • Plan and host meetings and events hosted by the Associate Dean
  • Schedule appointments, meetings, and events on the Associate Dean’s calendar
  • Make travel arrangements for the Associate Dean
  • Prepare and distribute confidential documents
  • Assist the Associate Dean with student academic advisement and enrollment matters, as well as providing support and assistance to Divinity School faculty members
  • Assist the Associate Dean in the production of periodic reports to submit to the Dean, the Provost, the President, the Trustees, the Advisory Board, grant organizations, and accrediting agencies
  • Make all arrangements and provide support for the fall faculty/staff retreat and the spring faculty retreat
  • Oversee the Visitor Program for non-credit students at the Divinity School
  • Process student applications for directed studies, for thesis writing, and for teaching assistantships
  • Process all event request forms
  • Plan and administer students’ evaluation of courses and professors for every academic term
  • Collect, review, and approve course syllabi submitted by faculty members for every academic term
  • Manage and provide support for faculty and staff searches, including planning and coordination of campus visits
  • Assist the Dean’s administrative assistant in the planning and logistical support for all Divinity School commencement services
  • Prepare and send all necessary materials for monthly faculty meetings and for any committee meetings with which the Associate Dean is involved
  • Assist the Associate Dean in his supervisory duties with admission office staff, Global Center staff, student services staff, enrollment management staff, and doctoral program staff
  • Budget management for the Associate Dean’s office
  • Participate in the total mission and witness of Beeson Divinity School, fostering, by attitude and demeanor, collegiality and cooperation among Divinity School faculty, staff, and students
  • Perform other duties as requested by the Associate Dean and the Dean
  • Bachelor’s degree
  • Three years of work experience
  • Proficient clerical and computer skills
  • Managerial abilities
  • Excellent written, verbal, and interpersonal communication skills
