Western Reserve Academy, one of the nation’s premier boarding schools, invites experienced, dynamic, and collaborative candidates to join the Academic Office as an Administrative Assistant. This full-time, 12-month role is central to the daily life of the school, serving as a welcoming, student-centered presence while ensuring the Academic Office operates with efficiency, care, and precision.


The Administrative Assistant partners closely with the Associate Head of School and Academic Office team to support the smooth and effective functioning of all academic operations. This individual manages both confidential and non-confidential communications with discretion, prepares and maintains records and reports, and contributes to a culture of professionalism, warmth, and responsiveness. The ideal candidate is eager to immerse themselves in the rhythms of school life, build meaningful relationships across campus, and serve as a trusted and approachable resource for students, faculty, and families.


Duties & Responsibilities:

  • Serve as a welcoming and positive presence, contributing to the Academic Office’s strong relationships with students, families, and colleagues.
  • Support the Associate Dean of Academic Affairs with scheduling processes in Veracross.
  • Prepare correspondence and documents; manage calendars, appointments, meetings, and conferences.
  • Maintain faculty statistical data and academic records with accuracy and confidentiality.
  • Support the faculty recruitment process by coordinating visit schedules and communicating with candidates, faculty, and administrators.
  • Monitor monthly budgets for the Associate Head of School.
  • Assist in planning and preparing materials for faculty meetings, in-service days, and new faculty orientation; coordinate catering as needed.
  • Support onboarding of new faculty by coordinating logistics across departments (technology, keys, housing, email, etc.) and preparing welcome materials.
  • Compile Care and Concern lists and monitor Academic Updates/ERPs; support attendance-related communications from the Dean of Academic Affairs.
  • Maintain organized and secure filing systems for the Academic Office.
  • Process financial documentation, including debit transactions and invoices, in coordination with the Business Office.
  • Coordinate the Academic Awards process and program in partnership with the Dean of Academic Affairs.
  • Manage faculty biography collection and updates for online publication.
  • Support ISACS accreditation processes and documentation.
  • Assist with the planning and execution of Parents Weekend.
  • Develop, distribute, and monitor student surveys for faculty each semester.
  • Gather and proofread content for the weekly parent newsletter (WRA Connections) in collaboration with the Communications Office; update the Academic Office portal with MARCOM.
  • Maintain the school calendar and coordinate usage of shared spaces such as the Chapel, Wilson Lecture Hall, and Wilson Reading Room.
  • Prepare materials and support logistics for school trips; ensure proper documentation and approval for non-athletic field and overnight trips.
  • Coordinate extended student leaves with the absence team.


Requirements

The ideal candidate possesses most or all of the following qualifications:

  • Bachelor's degree or an equivalent combination of education and experience.
  • 2-5 years in an administrative or office support role.
  • Experience in a school setting or working with students is a plus, especially in a boarding or independent school.
  • Experience managing calendars, coordinating schedules, and handling multiple priorities at once.
  • Comfort working with databases or school systems (Veracross a plus).
  • Exceptional interpersonal skills with a warm, approachable demeanor.
  • Ability to work collaboratively as part of a team and independently with initiative.
  • Capacity to build strong connections across departments and offices at WRA.
  • Proficiency with technology and willingness to learn school systems and emerging tools, including AI.
  • Experience managing the responsibilities of a busy office with a high level of organization.
