💡 About the Role:

We are seeking a detail-oriented, highly organized Administrative Assistant I to support our sales operations, customer service, and office administration. This role ensures accurate order processing, efficient documentation management, and compliance with internal standards while providing exceptional support to customers and internal teams.


Key responsibilities:

Quote, Sales Order Entry & Customer Service

🔆 Generate NPI quotes in ERP system and send them to customers.

🔆 Enter sales orders accurately and promptly into the ERP system.

🔆 Provide support for customer inquiries, providing timely and professional support.

🔆 Coordinate with internal teams to ensure order accuracy, scheduling alignment, and on-time delivery of information.

🔆 Close circle on NPI jobs to ensure router times into the future are evaluated/confirmed.


Filing System Management

🔆 Maintain a well-organized physical and digital filing system to ensure documentation is accessible, compliant, and up to date.

🔆 Create, update, and archive files according to company standards and retention requirements.


Work Order Processing

🔆 Systemically close work orders in the ERP system, verifying that all transactions, labor entries, and materials are accurately accounted for.

🔆 Kit work orders for production, ensuring all materials, travelers, and documentation are completed and delivered to the production floor on time.


EH&S Administrative Support:

🔆 Track employee EH&S certifications and training requirements.

🔆 Schedule required trainings and maintain accurate training logs.

🔆 Assist with document control, audits, reporting, and compliance-related administrative tasks.


General Office Support:

🔆 Assist with ad hoc administrative tasks as needed, including scheduling, document preparation, supply management, and supporting cross-departmental needs.

🔆 Provide flexible support to leadership and team members to ensure efficient office operations.

🔆 Answer phones, receive guests, and general office admin (order material support).


Qualifications:

2+ years of administrative or office support experience (manufacturing environment preferred).

✅ Strong organizational skills with the ability to manage multiple priorities simultaneously.

✅ Proficiency in Microsoft Office (Word, Excel, Outlook); experience with ERP systems is a plus.

Salesforce experience desired.

✅ Excellent communication skills and attention to detail.

✅ Ability to work independently and collaborate across teams.

Bilingual (Spanish) preferred.
