Administrative Assistant – Planning and Conservation

 

The Town of Marion has an immediate opening for a highly motivated and skilled individual as the Administrative Assistant in the Planning and Conservation Department. This is a full-time bargaining unit position, working under the general direction of the Town Planner.

The successful candidate will perform a variety of administrative and clerical tasks including but not limited to processing applications and permits, scheduling meetings and appointments, organizing and maintaining files, creating reports, and providing excellent customer service to town residents and other stakeholders (70%).


The administrative assistant will also provide support to the Planning Board and Conservation Commission scheduling and attending meetings, compiling minutes, posting public meetings and verifying adherence to regulatory process and other typical administrative tasks (30%).


Key Responsibilities:

·      Perform a variety of administrative and clerical tasks to support the day-to-day operations of a town office

·      Answering public inquiries regarding the Massachusetts Wetlands Protection Act and related regulations

·      Assisting with DEP form filings (e.g., Notices of Intent, Requests for Determinations)

·      Preparing official documents for Planning Board and Conservation Commission approval

·      Reviewing application filings for accuracy

·      Scheduling and preparing meeting agendas

·      Attending Planning Board and Conservation Commission meetings and developing meeting minutes

  • Process applications and permits accurately and efficiently
  • Organize and maintain both physical and electronic files, ensuring that all documents are up-to-date and easily accessible
  • Create and prepare reports, correspondence, and other documentation as needed
  • Provide excellent customer service, addressing inquiries from town residents, visitors, and other stakeholders in a friendly and professional manner
  • Assist with office management duties and special projects as assigned
  • Maintain a positive, welcoming environment for all who interact with the town office


Required Qualifications:

·      Minimum age of eighteen (18) years old

·      High School Diploma or equivalent

·      Valid Massachusetts Motor Vehicle License

  • Strong organizational and time management skills with an ability to prioritize effectively
  • Excellent communication and interpersonal skills
  • Proficiency with office software (Microsoft Office Suite)
  • Ability to maintain confidentiality and handle sensitive information

·      Strong attention to detail and ability to multitask effectively

·      Ability to work independently, as well as part of a team, in a fast-paced environment while maintaining a high level of professionalism and confidentiality


Preferred Qualifications:

·      College degree from an accredited college or university in a related field

·      Knowledge of Wetlands Protection Act

·      Knowledge of Open Meeting Law

·      Previous experience in an administrative or clerical role

Working Conditions:

Pay Rate: $24.11+ per hour based on experience
