Administrative Assistant / Bookkeeper
Location: New York, NY (On-site)
Schedule: Full-Time | 10:00 AM – 6:00 PM EST

Core Objective
Support multiple personal injury firms by managing a high volume of financial transactions, administrative workflows, and third-party communications. This role requires a blend of precise bookkeeping and proactive operational support.
Key Responsibilities
Financial Management: Handle daily bookkeeping, monthly bank/trust/credit card reconciliations, and year-end closing for multiple entities.
Legal Accounting: Track case disbursements, settlement payoffs, and litigation expenses. Manage accounts payable/receivable for medical providers, experts, and funding companies.
Tax & Compliance: Prepare and file quarterly/annual corporate tax returns, issue W-2s and 1099s, and coordinate with the CPA for audits and planning.
Administrative Coordination: Liaise between attorneys, vendors, and medical offices. Manage internal payroll and expense reporting.
Technical Filing: Navigate New York legal systems (NYSCEF, OCA) and legal CRMs (SmartAdvocate).
Requirements
Experience: 2–5 years in bookkeeping or legal administration (Personal Injury experience preferred).
Knowledge: Strong grasp of trust account handling, reconciliations, and New York court filing workflows.
Software: Proficiency in QuickBooks, Microsoft Office, and Google Workspace.
Soft Skills: High attention to detail, ability to multitask in a fast-paced environment, and professional communication skills.
