Administrative Analyst

The Administrative Analyst is responsible for a wide variety of skilled professional administrative and analytical work in support of municipal policies, procedures, and financial services in the Water Public Works Department. This position may provide support to any and all of the following Public Works divisions, including Streets, Sustainability, Energy & Environment, Fleet, Facilities, and Custodial Maintenance.

  • Support development and assist with coordination of multi-year, multi-fund Capital Improvement Program (CIP) budgets.

  • Assist with citywide, multi-year Capital Improvement Projects, including oversight of related Council Memos and contracts.

  • Contribute to long-range planning for the Capital Improvement Program.

  • Acts as the first point of contact for assigned divisions including managing phone calls which may be related to emergency situations or concerned residents with appropriate phone etiquette and excellent customer service

  • Supports special projects

  • Analyzes operational inefficiencies and provides recommendations for areas of improvement

  • Assist with website content, public information, and inter-departmental liaison

  • Manages a variety of skilled professional administrative and analytical work in support of municipal/corporate policies, organization procedures and financial services

  • Researches, compiles and analyzes data; presents findings and may make recommendations to department/division head

  • Researches, coordinates and administers programs of various operational needs of the assigned department/division

  • Assists in planning, developing, and implementing department goals, objectives, policies and procedures

  • Makes recommendations on policy

  • Compiles and analyzes data, performs computations, drafts narratives, assimilates divisional requests; assists in making adjustments to budget caused by reductions or modifications; reviews expenditures to determine budget status

  • May monitor expenditures to assure sound financial management

  • Provides recommendations in the development of short and long range plans

  • Compile, interpret, and prepare data for studies, reports and recommendations

  • May serve as a representative of department in disseminating information regarding operational and procedural aspects of the department

  • Compile special periodic reports and compose non-routine or technical correspondence

  • Assists in design and implementation of systems/programs

  • Provides responsible professional and technical administrative duties to department head and/or major division head

  • Enters purchase orders, invoices, and financial transactions related to assigned divisions.

  • Coordinate travel arrangements and training schedules

  • Assist with public outreach and notification efforts

  • Assist with grant tracking, reporting, and payment processing for funded projects.

Education

  • Bachelor’s degree from an accredited college or university in public or business administration, leadership/management, economics, finance/accounting, data management - required.

Experience

  • 2 yearsexperience in administrative support that includes data analysis/management or business analysis to include process optimization, communication, and resource management in such roles as project coordinator/manager, HR or operations coordinator, and data analyst/entry clerk - required.

Years of related experience may be substituted for required education, however education cannot be substituted for the necessary work experience. Candidates must meet the minimum required years of work experience.

NECESSARY SPECIAL REQUIREMENTS (in addition to above requirements):

New hires must, as a condition of employment, pass the following pre-offer and post-offer/hire processes: in-person or virtual interviews, reference checks, and background checks, which may include local police check and sex-offender registry.

  • Work may be scheduled Monday through Friday, and may include some holiday, weekend, and evening hours.

  • Regular, predictable attendance required

  • Work is performed at City/County work locations and may have the ability to perform some duties remotely in accordance with Broomfield's remote work policy and approval by the supervisor

  • While performing the duties of this job, the employee is regularly required to sit, lift objects and reach with hands and arms.

  • The employee must be able to move around the department in order to perform routine tasks: helping customers and attending meetings.

  • Physical demands are light and employees must sometimes push and lift items up to 10 lbs. to maintain safety and remove obstructions for community accessibility.

  • Employees perform basic tasks and routine work on computers and other electronic devices with software designated to complete work.

  • In-person customer/client/team meetings required.
