Job Title: Accounts Payable Specialist – Utility Direct Debit Conversion
Job Description

The Accounts Payable Specialist will lead a focused project to convert approximately 1,000 utility providers to direct debit payment. This role requires consistent outreach to providers, careful verification and updating of billing and contact details, and accurate setup of direct debit information to ensure smooth, timely payments. The position is ideal for someone who enjoys detailed, process-driven work and communicating clearly with external partners.

Responsibilities

  • Contact each utility provider to initiate and manage the conversion to direct debit payment.
  • Confirm that each provider has the correct billing information and primary contact details on file.
  • Verify and update online account access, including user IDs and passwords, to ensure accurate and secure access to each provider’s portal.
  • Provide each utility provider with the required bank account details to enable direct debit payments.
  • Obtain and record the ACH number from each provider so that Treasury can add it to the appropriate exception list.
  • Maintain accurate records of all communications, updates, and confirmations for each provider.
  • Perform thorough data entry to ensure all provider, billing, and banking information is complete and error-free.
  • Follow up with providers as needed to resolve discrepancies or incomplete information.
  • Work methodically through the full list of utility providers to ensure all are successfully converted to direct debit.

  • Clear and professional communication skills for interacting with utility providers by phone and email.
  • Proficiency in data entry with a focus on accuracy and completeness.
  • Patience and thoroughness when working through a high volume of providers and repetitive tasks.
  • Ability to follow structured processes and document each step consistently.
Additional Skills & Qualifications
  • Demonstrated ability to handle repetitive, detail-oriented work while maintaining high accuracy.
  • Experience working with billing, accounts payable, or vendor account administration is beneficial.
  • Comfort using online portals and managing user IDs and passwords for multiple accounts.
  • Strong organizational skills to track progress across a large number of providers.
Work Environment

This role is fully onsite, working five days per week from 8:00 a.m. to 4:00 p.m. with a 30-minute lunch break. You will work in a structured office environment that supports focused, detail-oriented tasks and regular communication with external providers.

This is a Contract position based out of Jersey City, NJ.

Pay and Benefits

The pay range for this position is $20.00 - $23.00/hr.
