Position Overview

We are seeking a reliable and detail-oriented Accounting & Office Coordinator to support day-to-day accounting transactions, order processing, and general office operations.

This is a hands-on role in a small office environment. The position is primarily transactional and operational, with a focus on accuracy, organization, and day-to-day execution. You will work closely with a long-tenured team member and play a key role in ensuring continuity and efficiency across the business.

Key Responsibilities

Accounting & Transaction Support

· Enter vendor invoices and process accounts payable

· Apply customer payments and assist with accounts receivable and collections

· Support check runs and vendor communications

· Maintain accurate records in Sage 100

Order Entry & Customer Support

· Assist with customer order entry and invoicing

· Provide backup support for incoming calls and customer inquiries as needed

· Help route and resolve customer requests

Inventory & System Updates

· Update and maintain inventory records within Sage 100

· Ensure data accuracy across accounting and operational workflows

---

Office Administration

· Open, sort, and distribute mail (including coordination with related entities)

· Provide general administrative support across the office

· Assist with front office coverage when needed (backup to primary phone support)

Cross-Training & Backup Support

· Learn all core back-office processes

· Serve as backup across accounting, order entry, and office functions

· Help document processes to support continuity and efficiency

Qualifications

· 3–7+ years of experience in accounting support, office administration, or similar role

· Strong attention to detail and organizational skills

· Ability to manage multiple responsibilities and prioritize effectively

· Comfortable working in a small, team-oriented environment

· Strong communication and customer service skills

· Experience with Sage 100 or similar ERP system preferred

· Proficiency in Microsoft Excel and general office tools
