This is a full-time position located at theCapitol Park Museum in Baton Rouge, LA.This position is responsible for making purchases, processing deposits, and creating financial reports. This position is also responsible for communicating with the Office of Management and Finance staff.The Louisiana State Museum’s collections and educational programs stimulate awareness and appreciation of our state’s rich and diverse history and culture.Three years of experience in accounting, auditing, financial operations, payroll, or banking; ORSix years of full-time experience in any field plus twenty-four semester hours in accounting; ORA bachelor’s degree with twenty-four semester hours in accounting; ORA bachelor’s degree in accounting, finance, business administration, management, economics, or statistics; ORAn advanced degree in accounting, finance, business administration, management, economics, quantitative methods, or statistics; ORPossession of a Certified Public Accountant (CPA) license.EXPERIENCE SUBSTITUTION:Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. here.Job Duties:- Prepares Irby financial statements and fiscal reports which include the compilation and analysis of data for budgets, year-over-year comparisons, departmental details, monthly, quarterly, and annual reports.
- Communicates with DCRT accountants; state, federal, and independent auditors; banks; program or management personnel; and vendors for the purpose of providing information and technical assistance needed to resolve problems.
- Maintains cash management records, includes funds drawn and received, funds dispersed by sources, deposits of funds, issuance of refunds, and classify revenue as to sources of funding and expenditures as to their nature.
- Responsible for tagging and tracking inventory items, using the LPAA system.
- Performs required quarterly and annual inventories of all museum property, including regional sites.
- Provides reports for state level reporting and certification.
- Completes insurance claim paperwork for all Museum sites, including property damage, worker’s compensation, general liability, and Museum related automobile accidents.
- Completes the Property Exposure report.
- Prepares, monitors, reconciles, audits, and forecasts revenues, expenditures, and budgets.
- Analyzes requests for purchases and determines the proper method of procurement. Follows P Card procedures for small purchases and travel. Makes Irby Trust fund credit card purchases.
- Reviews contracts, Cooperative Endeavor Agreements and Memorandums of Understanding.
- Coordinates Lease agreements, lease renewals, and CAM (Common Area Maintenance) with property management firms.
- Manages fleet assignments daily. Maintains vehicle logs, receipts, maintenance, and fleet fuel policy. Collect data on Museum vehicles for transmittal to DCRT Fleet Manager. Maintains key inventory for all New Orleans vehicles. Updates the approved driver list annually.
- Administers the Gateway Ticketing System, and makes changes as needed. Provides complimentary tickets as needed for Marketing/Public Relations purposes.
- Participate in the development of new accounting techniques in the design and implementation of accounting subsystems, compilation of manuals for accounting and computer application, and preparation of managerial reports.
- Performs other duties as required.
