California Miramar University is seeking a highly organized, execution-driven Academic Operations Manager to support the day-to-day academic operations of our San Diego campus. This is a critical role for a professional who thrives on structure, follow-through, systems coordination, and operational excellence in a growing university environment.
The Academic Operations Manager will help ensure that courses, faculty, systems, and academic processes are fully prepared and running smoothly each term. This role is ideal for a detail-oriented, hands-on professional who is comfortable owning processes, managing multiple priorities, driving follow-through, and holding others accountable to deadlines and standards.
This is a full-time position based in San Diego. On-site work is preferred. Flexibility is required during course launch periods and other high-volume times.
Key Responsibilities
- Own and manage day-to-day academic operations and administrative processes
- Ensure all courses are fully ready before the start of each term
- Manage LMS setup, course uploads, formatting, copying, and section setup
- Create and update records in the SIS
- Run queries in the SIS and help ensure SIS data is synced with HubSpot
- Coordinate course scheduling and faculty assignments
- Support faculty onboarding logistics and track completion of required items
- Ensure faculty meet deadlines for syllabi, course content, and other pre-term requirements
- Maintain course templates, academic records, and organized course materials
- Serve as a librarian for academic materials, including organization, version control, and document management
- Coordinate textbook and course material administration
- Administer academic surveys and related tracking
- Support student monitoring processes and related academic follow-up
- Track academic operational data, readiness status, and completion of key tasks
- Support substitute instructor coordination when needed
- Serve as the main operational point of coordination between faculty, Program Leads, and the Vice President of Academics
- Ensure academic processes, checklists, and workflows are followed consistently
- Identify operational gaps and improve processes for stronger consistency and execution
- Resolve day-to-day academic operational issues and escalate larger concerns as needed
Qualifications
- Bachelor’s degree required in Business, Education, Operations, or a related field
- Minimum of 3 years of experience in operations, academic administration, coordination, or a similar role
- Higher education experience strongly preferred
- Experience with LMS platforms, preferably Moodle
- Experience with SIS systems
- Strong Excel or spreadsheet tracking skills
- Experience with process tracking, documentation, and administrative systems coordination
- Strong communication, organization, and follow-up skills
- High attention to detail and strong accountability
- Ability to manage multiple priorities, solve problems, and exercise good judgment

Compensation
$65,000 to $80,000 annually
