Duties and Responsibilities:

  1. Provides high-level administrative and fiscal support functions to the College ofEngineering.
  2. Responsible for the processing of fiscal transactions for the College of Engineering, in compliance with all University, State, Federal, RCUH, and UH Foundation policies and procedures.
  3. Responsible for fiscal documents, i.e., requisitions, purchase orders, payment documents, etc., in compliance with UH, state, federal, RCUH, and other sponsor guidelines.
  4. Responsible for filing and tracking of paper, electronic, and confidential files.
  5. Prepares fiscal and personnel reports for internal and externalinquiries.
  6. Assists with scheduling and maintaining various reservations calendars (vehicle, room use, equipment, parking, etc.) for the College of Engineering (CoE).
  7. Plans, schedules, coordinates, and provides support and oversight of events and projects sponsored by the CoE Dean’s Office. Helps ensure the execution of events
  8. Monitors and maintains the inventory system and records, office supplies, vehicle use, etc
  9. Assist with updating and maintaining various spreadsheets and maintaining accurate records
  10. Responds to inquiries and provides general information to CoE personnel concerning administrativematters
  11. Maintain positive working relationships with community partners, CoE personnel, and other stakeholders
  12. Assist with all aspects of meetings, either in-person or remote, using software such as Zoom, including calendar coordination, setup, note-taking, and meeting reminders, and acting as a point of contact for various events.
  13. Assist with drafting, editing, and reviewing memos, reports, correspondence, etc.
  14. Assist with overseeing the office and reception area, including answering phones, intake of mail and deliveries, supporting visitors, etc.
  15. Other duties as assigned

Minimum Qualifications:

  1. Possession of a baccalaureate degree in Business Administration or related field and 3 year(s) of progressively responsible professional experience with responsibilities for financial accounting and fiscal/procurement; or equivalent education/training or experience.
  2. Considerable working knowledge of principles, practices and techniques in the financial accounting and fiscal/procurement, as demonstrated by the broad knowledge of the full range of pertinent standards and evolving concepts, principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with financial accounting and fiscal/procurement.
  4. Demonstrated ability to resolve wide-ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative, and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally, and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
  9. Demonstrated ability working with spreadsheets.
  10. Experience in conducting training and developing presentations.

Desirable Qualifications:

  1. Prior experience with allocated funds at an institution of higher education.
  2. Experience with UH, state, federal, RCUH, and UH Foundation policies and procedures on fiscal management, procurement, disbursing, and inventory control.
  3. Experience with exercising purchasing authority.
  4. Demonstrated ability to extract data and generate ad hoc reports for management review.
  5. Working knowledge of accounting systems, integrated financial management systems, integrated financial management systems and computer technology (i.e., Kuali, eTravel, RCUH, UH Foundation, Access, PeopleSoft, etc.).
  6. Knowledge of research administration.
