What You'll Get To Do:

The Warehouse Coordinator oversees day-to-day cross-dock activities for a designated customer account, ensuring accurate and timely receipts, pre-shipments, and shipments. This role acts as the single point of contact for the customer’s orders and documentation, coordinates dock and carrier activities, reconciles paperwork in the WMS/TMS, and routes invoices and billing support to the correct internal department. Success in this role requires attention to detail, a strong sense of ownership, and effective communication with warehouse operations, carriers, customer service, and finance.

 

Key Responsibilities

 

Customer Account Ownership

  • Serve as the primary operational contact for the assigned customer account; maintain current SOPs, routing guides, labeling, and documentation requirements.
  • Monitor order status end-to-end (receipt → staging/pre-ship → outbound), proactively communicate exceptions and resolution plans to internal teams and the customer (as applicable).

 

Receipts (Inbound)

  • Review receipt alerts and pre-advise the dock on trailer/container arrivals and priority handling.
  • Verify inbound documentation (BOL, packing list, manifest); reconcile quantities and condition; escalate discrepancies per SOP.
  • Ensure floor-load / palletized receipts are processed per cross-dock standards; coordinate quality holds or damage pictures as required.
  • Update WMS with receipt details, exceptions, and timestamps; ensure proper labeling and staging location assignment.

 

Pre-Shipments & Staging

  • Plan and coordinate pre-shipment staging by carrier, route, destination, and cut-off time.
  • Sequence workload with the Warehouse Lead to meet departure windows and maximize dock utilization and throughput.
  • Verify freight identification, count accuracy, and readiness (labels, documents, special handling) before load-out.
  • Maintain a live pre-ship queue, highlighting hot orders, reships, and special projects.

 

Shipments (Outbound)

  • Create/verify shipping documents (BOL, labels, packing lists, export documents if applicable); ensure compliance with the customer’s routing guide.
  • Confirm carrier appointment and material pick-ups.
  • Confirm loads in WMS/TMS, capture POD data, and close out loads on time; escalate late risks early.

 

Documentation & Invoice Routing

  • Compile shipment backup (BOL, POD, accessorial approvals, detention notes) and submit to the appropriate internal department (Finance/AP/AR or Billing) per SOP and cut-offs.
  • Validate charge codes and cost allocations when required, flag anomalies to Finance for review.
  • Maintain a clean, auditable document trail in shared folders/SharePoint/WMS.

 

Inventory & Data Accuracy

  • Perform weekly physical inventory; reconcile discrepancies with inventory control or leads.
  • Ensure real-time and accurate WMS data entries (receipts, staging, outbounds, status changes).
  • Support audits (CTPAT/OSHA/5S/internal) with timely records and corrective actions.

 

Communication & Continuous Improvement

  • Provide daily cross-dock status updates to operations leadership (backlog, risks, carrier issues).
  • Participate in root-cause analysis for service failures; propose and implement process improvements to reduce touches and dwell time.
  • Support training of associates on customer-specific SOPs and documentation standards.

 

 


Qualifications

Education & Experience: 

 

Required:

  • Bachelor’s degree or equivalent work experience.
  • Warehouse and distribution experience, preferably within cross-dock or high‑throughput environments.
  • Experience in inventory control and material coordination.
  • Working knowledge of WMS/TMS systems and end‑to‑end warehouse operations.
  • Proficiency in MS Office, especially Excel, with strong reporting skills.
  • Strong written and verbal communication skills; ability to coordinate effectively across warehouse, carriers, customer service, and finance teams.
  • Proven accuracy in documentation and data entry; detail‑oriented and deadline‑driven.
  • Experience managing customer-dedicated accounts and route guides.
  • Familiarity with ASN/EDI, Bills of Lading (BOL), packing lists, PODs, and OS&D processes.
  • Demonstrated ability to work collaboratively across departments.
  • Bilingual (English/Spanish) required.
  • Ability to work on a flexible schedule based on operational needs.
