Role Overview:
The incumbent serves as the agency’s lead Travel Specialist and is responsible for coordinating, reviewing, approving, and processing travel-related requests, authorizations, expense reports, reimbursements, and State Travel Card activity for the Indiana Department of Education.
Travel administration is the primary function of this role. When travel volume permits, the incumbent also provides fiscal and administrative support for accounts payable, purchasing, procurement, PeopleSoft Financials business processes, MSP processing and supply ordering. The position requires strong attention to detail, customer service, knowledge of state travel policies and procedures, and the ability to support timely and compliant processing of agency travel and related fiscal activities.
Salary Statement:
The salary for this position traditionally starts at $53,222.00 but may be commensurate with education or work experience.
A Day in the Life:
•Serve as the agency’s Lead Travel Coordinator.
•Review and approve rental vehicle requests annually.
•Track all entries in T&E to ensure timely submission, review, and processing.
•Audit and approve all travel authorizations submitted in T&E.
•Audit and approve all expense reports submitted in T&E.
•Coordinate with fiscal staff on year-end updates and reporting for T&E.
•Maintain a State Travel Credit Card to book all airfare approved by external agencies.
•Organize, track, and upload all documents for the State Travel Card in PeopleSoft monthly for invoice payment.
•Maintain employee reimbursement information, including applicable personal information such as date of birth, driver’s license information, and credit card information.
•Maintain a State Procurement Card to book registrations.
•Instruct and assist all IDOE staff with T&E entry and update requirements as necessary.
•Book lodging for the Secretary of Education using a State Travel Card.
•Update travel-related documents and implement travel guidance received from external agencies.
•Assist with agency purchasing and procurement.
•Assist with MSP processing.
•Assist with Accounts Payable, including approving vouchers and control groups as needed.
•Assist with business process functions in PeopleSoft Financials as needed.
•Assist with maintaining supply orders.
•Perform other duties as assigned.
What You'll Need for Success:
•High school diploma required. Bachelor’s degree preferred.
•Current or previous State experience preferred.
•Five to eight years of administrative, fiscal, travel, purchasing, procurement, or related experience required.
•Ability to review and interpret contractual documents, fiscal documents, reports, and related materials.
•Ability to prepare, review, and interpret financial statements, reports, and related fiscal documentation.
•Working knowledge of federal and state laws, policies, and procedures as they pertain to travel, accounting, purchasing, procurement, and bookkeeping.
•Ability to analyze and resolve routine to moderately complex accounting, travel, reimbursement, or fiscal processing issues.
•Knowledge of agency organization, function, and purpose.
•Ability to assist with developing new, or modifying existing, accounting, travel, purchasing, procurement, or administrative procedures and methods.
•Excellent customer service skills.
•Strong verbal and written communication skills.
•Knowledge of computers and Microsoft Office applications required.
•PeopleSoft Financials experience preferred.
•Ability to multitask and manage multiple competing priorities.
•Working knowledge of theories, principles, and practices of administrative management.
•Excellent organizational skills and attention to detail.
