Job Summary:

The Technical Project Administrator (TPA) provides administrative, systems, and coordination support to the Technical Project Management team, ensuring efficient execution of engineering deliverables across the project lifecycle. This role supports schedule management, submittal tracking, ERP/IFS data accuracy, change order processing, document control, and cross-functional coordination with Engineering, Technical Publications, Operations, Procurement, and Project Management. The TPA reports to the Senior Technical Project Manager and partners closely with Technical Project Managers, Production Engineering, Solution Architecture, and Technical Publications.

Minimum Qualifications: (Education, Experience, Knowledge, and Skills):

  • Bachelor’s Degree is a plus (Engineering, Business Administration, Construction Management, or related field)

  • 1–2 years of professional experience in Engineering Administration, Project Coordination, Project Controls, or ERP-based project support roles

  • Experience supporting Engineering, EPC, Manufacturing, or Construction projects is a plus

  • Familiarity with Enterprise Resource Planning (ERP) systems such as IFS, SAP, Oracle, or JDE

  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams)

  • Strong working knowledge of project documentation control processes

  • Understanding of Work Breakdown Structures (WBS), cost centers, and engineering labor tracking

  • Familiarity with submittal processes, drawing revisions, and document control systems

  • Working knowledge of change orders, scope revisions, and cost tracking methodologies

  • Strong organizational skills with the ability to manage multiple projects simultaneously

  • Ability to communicate effectively with engineering and operations teams

Job Duties and Responsibilities:

Engineering Administration & IFS Support

  • Support TPM in building and maintaining 200/300-level WBS, schedules, budgets, and engineering cost centers in IFS

  • Maintain accurate engineering dates, hours, and labor budgets; monitor and report variances

  • Upload, organize, and maintain documentation within required IFS folders

  • Support budget validation and hour transfers related to approved change orders

Submittals & Document Control

  • Track submittals, review timelines, and revise-and-resubmit cycles

  • Maintain submittal logs, version control, and document integrity

  • Coordinate document routing among Engineering, SAT, PDE, TPD, and TPM

  • Ensure approved submittals are archived correctly prior to Engineering Kickoff

Engineering Change Management

  • Maintain Engineering Change and Coordination logs

  • Log and track change requests through evaluation, approval, and implementation

  • Support hour estimating and preparation of PCO/SCO documentation

  • Upload approved change documentation and confirm cost/hour transfers in IFS

Schedule & Pre-IPM Support

  • Compile engineering data for Pre-IPM and Engineering Kickoff meetings

  • Track milestones, risks, issues, and schedule commitments

  • Provide data support for weekly engineering coordination meetings

Cross-Functional Coordination

  • Serve as administrative liaison between TPM and Engineering, Solution Architecture, TPD, Procurement, and Project Management

  • Track action items, coordinate meetings, and maintain minutes as needed Project Closeout Support

  • Support collection of As-Engineered / As-Shipped and As-Built documentation

  • Coordinate Vault uploads and O&M manual compilation

  • Confirm completion of engineering deliverables prior to cost center closure

  • Archive project documentation per standards

Working Conditions:

  • This position is [hybrid, on-site].

  • Occasional travel may be required for training or meetings.

  • Must be able to work flexible hours to accommodate different time zones (Central/Eastern/Mountain/Pacific), if necessary.

  • Be flexible for after-hours tasks, as needed
