JOB SUMMARY
The Supervisor of Diagnostic Scheduling (The Supervisor) coordinates daily functions of the diagnostic and/or point of service schedulers which includes but not limited to outpatient laboratory, imaging, and/or interventional procedures by ensuring accuracy in an effort to avoid conflicts against limited resources and staff. The Supervisor provides support by assigning tasks, coordinating work schedules, training and coaching the Scheduling team. The Supervisor also schedules appointments and supports Department leadership by performing quality audits of workflow processes of phone or face-to-face employee interactions. The Supervisor will help maintain appropriate staffing levels based on historical volume analysis and clinical needs, monitor daily productivity, and reallocate duties as needed. The Supervisor will be expected to assist in the accuracy and competency of scheduler productivity in accordance with established protocols, proper collection of required patient information, and correct communications with ordering physician offices and patient preparation instructions. The Supervisor will also be expected to attend meetings and participate with any scheduling application upgrades and/or transitions. The Supervisor should be able to directly interact with various hospital partners and patients on all levels while maintaining a patient-centered attitude at all times, demonstrating compassion and empathy for patients and their families and encouraging the same from the staff that they are assigned to support. The Supervisor may be required to travel to both campus and off-campus locations and maintain a readiness to work outside of normal business hours to meet the needs of the department or the service locations. The Supervisor works as part of an elite team to support UT Southwestern operations and initiatives.

    Bachelor's Degree
  • Experience
    3 years of experience in hospital outpatient, diagnostic or clinic scheduling in lieu of bachelor's degree.
  • Licenses and Certifications
    (CHAA) CERT HEALTHCARE ACCESS ASSOC NAHAM within 1 Year and
    NATL ASSOC HLTHCARE ACCESS MGT Associate Membership within 1 Year


JOB DUTIES

  • Provides supervision, direction, development and guidance to staff in an effort to promote professional growth, development and accountability. Effectively delegates and appropriately holds staff accountable; maintains a proactive approach with addressing/implementing changes impacting the various processes of the Diagnostic Access Services Department.
  • Interviews, selects, and trains, employees. Completes performance evaluations and provide disciplinary actions employees as needed. Supervises operations effectively; effective follow-through and follow-up; takes accountability; solves problems and implements solutions; integrates financial understanding into solutions; demonstrates technical proficiency.
  • Acts with urgency to address issues and anticipates customer needs. Articulates views clearly and directly, listens attentively to others, communicates quickly issues affecting staff.
  • Maintains department productivity and quality standards. Supports goals and objective; design, implement and evaluate policies and procedures for department operations.
  • Oversees department schedule, time and attendance issues; assuring staff coverage for all shifts as delegated by the Manager and/or Director.
  • Responsible for generating, distributing and maintaining relevant department reports to assist management with tracking of performance indicators.
  • Assures that quality assurance monitoring is conducted on data produced by department staff, assuring accuracy, thoroughness and compliance. Responsible to track, trend, edit reports for completeness and identify areas for continued performance improvement.
  • Performs other duties as assigned
