About the Role
The SouthCoast Community Foundation is seeking a Strategic Operations Specialist to serve as a central operator within the organization. This highly visible role supports executive leadership, coordinates across teams, and ensures that internal operations, meetings, and stakeholder experiences run smoothly and professionally.
The role combines systems thinking with disciplined execution to manage office operations, executive workflow, governance logistics, and cross-department coordination. The Specialist anticipates needs, identifies gaps, and strengthens processes to ensure consistent, high-quality execution across the organization.
This is not a traditional administrative role. We are looking for someone who takes ownership, works independently, and is comfortable operating in a fast-paced, high-visibility environment.
What You’ll Do
Executive & Organizational Coordination
- Manage executive schedules, internal calendars, and meeting flow across departments
- Coordinate leadership, board, and cross-functional meetings, including agendas, materials, and follow-up
- Support internal projects and organizational priorities, tracking timelines and ensuring completion
- Anticipate needs, resolve conflicts, and help leadership stay organized and focused
Operations & Workplace Management
- Oversee day-to-day office operations, ensuring a professional and well-functioning environment
- Manage vendors, supplies, and operational budgets
- Maintain office technology and support staff in using systems effectively
- Document and improve operational processes to increase efficiency and consistency
Events & Executive Support
- In partnership with Communications, coordinate logistics and execution for meetings, convenings, and events
- Support executive preparation for high-profile engagements
- Serve as on-site liaison during events, ensuring smooth flow and strong stakeholder experience
Administrative & Systems Support
- Maintain donor and operational records in Bloomerang
- Support gift processing and coordination with Advancement and Finance
- Assist with onboarding/offboarding and performance management tracking in partnership with HR
What We’re Looking For
- 5–8+ years of experience in operations, executive support, or a similar high-responsibility role
- Strong project management and organizational skills
- Ability to manage multiple priorities and work independently
- Confidence working with senior leaders, board members, and external stakeholders
- Systems thinker with the ability to improve processes over time
- Strong technology skills and comfort learning new systems (e.g., CRM platforms)
- Excellent communication skills and sound judgment

Working Conditions
- This position is primarily onsite at our New Bedford office
- This role requires regular movement throughout the office, including climbing and descending multiple flights of stairs
