Responsible for assisting with the co-source process of sales and use tax returns, liquor returns, and food and beverage tax returns, payment of and accounting for all related tax liabilities, maintenance of related tax records and files and assisting with the handling of audits. The overall objective of this position is to ensure compliance with all applicable state, local and foreign tax requirements while minimizing the sales and use tax burden for the Company.
RESPONSIBILITIES
- Compliance-Responsible for assisting with the co-source process of the sales and use tax returns, liquor returns, and food and beverage tax returns in a timely manner and in compliance with all applicable state, local and foreign tax requirements. Review general ledger data for sales and purchases and ensure that all data is properly provided to the co-source firm that will be loaded into their applicable sales/use tax software compliance system. Conduct research and document taxability questions, tax rates, jurisdictional information, etc. Provide tax notices to the co-source firm to research and track them on the notice tracker; follow up on the notices when necessary to make sure they are resolved. Ensure that all sales data and taxable purchases are properly reported in the most tax efficient manner. Maintain sales/use tax compliance files for all units and jurisdictions in accordance with the Internal Audit guidelines. File copies of statements, bills, tax returns and correspondence as appropriate. Ensure that documentation in the file is captured and meets Tax Department standards and requirements. Provide support for audits as needed. Ensure that all available discounts granted for timely filing by taxing jurisdictions are secured and tracked monthly
- Tax Payments- Responsible for reviewing the monthly payment of, and accounting processes for, taxes provided by the co-source firm for sales/use taxes, food and beverage, liquor, hospitability, gross receipts taxes, excise and other similar taxes as required. Responsible for reviewing journal entries and accounting adjustments provided by the co-source firm. Monitor and adjust related general ledger accounts as needed. Responsible for monthly sales and use tax reconciliations required for internal reporting purposes. Analyze and reconcile sales and use tax liability accounts to the general ledger on a timely basis. Determine accuracy of payments and accruals. Monitor any activity originating outside the Tax Department and summarize any differences for review by senior management. Prepare and submit for approval journal entries as required to adjust the accounts
- Business Advisory Services-Monitor new restaurant openings and register new legal entities, new restaurants, including acquisitions, with applicable taxing jurisdictions, ensure proper set up for EFT payments and integration of the new restaurants into filings and processes. Determine when accounts need to be discontinued or closed due to restaurant closings or sale of a location and prepare the necessary paperwork for submission to the applicable taxing jurisdiction. Monitor exempt sales being reported in the system from the restaurants and ensure that appropriate exemption certificates are secured to support the exemptions. Summarize issues and problems discovered and alert senior management as appropriate for FAS5 reporting. Assist with the integration of acquired restaurants or brands as appropriate
- Software Maintenance-Enter new or updated sales tax rates in the sales system for Inspire's Brands and add new restaurant locations to Ryan Rate Point. Monitor tax rate changes through state or local websites, CCH Intelliconnect and Onesource Indirect Tax. Research sales tax rates and inform IT Department and the business units of the correct tax rates for implementation into the POS systems and the leasing software. Provide sales tax rates for 3rd party delivery, new and acquired restaurants to Property Accounting, Lease Management, IT and Store Accounting Departments. Ensure that the Tax Calendar is maintained and updated as needed. Effectively utilize the system for sales/use tax compliance and reporting to senior management.
- Purchases. Monitor and review the use tax accruals populated by OneSource Indirect Tax or manually created by Accounts Payable
- Special projects and other duties as assigned
EDUCATION & EXPERIENCE QUALIFICATIONS
- 4 year degree in Management, or Finance required
- Or, significant accounting coursework coupled with sales/use tax experience in a large corporate environment
- 3+ years of sales and use tax experience required
- 5+ years of sales and use tax experience preferred
