The Senior Administrative Assistant provides advanced operational and administrative support to the Development team within University Advancement. This role supports Gift Planning and Development officers through CRM management, oversight of scheduling and travel coordination, gift agreement documentation processing and monitors designated Development budgets. The Senior Administrative Assistant reports to the Director of Advancement Communications, Events, Leadership and Board Engagement.
Gift Planning Support:- Provide operational support to the area of Gift Planning, including calendar management, donor meeting preparation and follow-up coordination.
- Maintain accurate CRM records, including contact reports, donor notes and planned giving activity.
- Coordinate Gift Planning marketing efforts, including mailings, recognition society communications and response tracking.
- Track deadlines and documentation related to planned gifts, estate notifications and stewardship activity.
Development Team Support:- Coordinate the tracking and internal review process for donor proposals and gift/fund agreements, ensuring documents are developed, approved by appropriate stakeholders and finalized in a timely manner.
- Coordinate administrative support for principal gift activity, including scheduling strategy meetings, preparing agendas and briefing materials, tracking follow-up actions and ensuring materials are organized for effective donor engagement.
- Coordinate logistics for donor meetings, cultivation events, and on-campus visits, including itineraries, reservations and materials.
- Assist with the reconciliation of the Development teams monthly expenses.
Operational Oversight:- Serve as an operational resource to Development officers by supporting organization, documentation and process consistency.
- Monitor and reconcile designated Development budgets and expenses.
- Maintain organized records and internal tracking systems to support consistent fundraising operations.
Experience
- One to two years related experience required; must include progressive administrative experience
Education
- High school diploma or GED required

- Ability to use sound judgment, tact and discretion when working with confidential files
