Position Summary & Primary Responsibilities:

The Site Specialist is responsible for supporting multiple properties as directed by the
Regional Manager. This role requires flexibility, strong resident relations skills, and a proactive
approach to leasing, resident education, and ensuring unit readiness. The Roving Site Specialist
will serve as a key resource in maintaining occupancy, compliance, and resident satisfaction
across assigned properties. In addition, this position is responsible for the following:

  • Ensuring all residents are registered in Rent Café and educating residents on rent
    payment processes, work order submissions, and how to contact the appropriate staff
    for inquiries or concerns.
  • Actively marketing and leasing available units to minimize vacancies, conducting
    property tours and guiding prospective residents through the application process, and
    communicating with service providers and partners regarding any terminated leases and
    vacant units that become available.
  • Walking and inspecting vacant units to assess readiness for leasing, to include
    identifying and reporting necessary maintenance or turnover needs to the appropriate
    team.
  • Ensuring residents understand and adhere to lease terms and community policies as
    well as issuing and delivering violation notices as directed.
  • Immediately reporting escalated resident issues, lease violations, or property concerns
    to the Regional Manager.
  • Providing regular updates on leasing progress, resident engagement, and outstanding
    issues at assigned properties.
  • Working closely with service providers to ensure pertinent information is shared across
    the board, to include sending notifications of lease violations, late notices, and specific
    concerns related to the management of the property to the service providers before
    sending to residents.
  • Ensuring ongoing compliance with affordability requirements during resident tenancy,
    to include generating and issuing recertification notices in compliance with HUD and IRS
    requirements, processing and completing annual recertifications while directly
    communicating with residents to ensure program compliance, managing renewal paperwork including Section 8 voucher renewals when applicable, scheduling Section 8
    voucher inspections with the centralized Maintenance team, ensuring occupancy
    standards and house rules are upheld and coordinate with other departments as
    needed, assisting in file audits and management reviews, and attending quarterly and
    annual compliance training to maintain expertise.
  • Ensuring proper notices are sent to residents with late rent payments.
  • Assisting residents in setting up payment plans per community-specific delinquency
    policies, notifying the Regional Manager of any broken payment plans in a timely
    manner so that eviction proceedings may begin if necessary.
  • Providing information and forwarding any physical monies received to the Business
    Operations Department so they may ensure funds are being appropriately applied and
    charges appropriately assessed.
  • Perform special projects and other duties as assigned by the Regional Manager.

Education & Experience:

  • High school diploma or equivalent
  • 4+ years experience in leading and motivating teams to meet goals
  • Experience managing communities of 100+ units for a professional real estate
    management company
  • Tax credit and Section 8 experience
