💡 About the Role:

We are seeking a detail-oriented and proactive Shipping Coordinator II to join our manufacturing team in Santa Clara, CA. In this role, you will play a key role in managing incoming and outgoing shipments, ensuring accuracy, and maintaining an efficient workflow among production, customer service, and logistics. The ideal candidate has experience in a regulated manufacturing environment, is comfortable using inventory management systems, and thrives in a fast-paced setting.


Key responsibilities:

🚚 Examine contents and compare them with records, such as manifests, job travelers, invoices, packing slips, or orders, to verify the accuracy of incoming or outgoing shipments.

🚚 Prepare documents such as manufacturing templates, tracking info, and shipping orders to route materials.

🚚 Record shipment data, such as weight, charges, space availability, and damages and discrepancies, for reporting, accounting, and recordkeeping purposes.

🚚 Determine shipping method for materials, using knowledge of shipping procedures, routes, and rates.

🚚 Contact the carrier representative to make arrangements and to issue instructions for shipping and delivery of materials.

🚚 Confer and correspond with Sales, Customer Service, and establishment representatives to rectify problems, such as damages, shortages, and nonconformance to specifications.

🚚 Assist Customer Service and Sales with inventory questions or concerns, quotes, and dimensions.

🚚 Requisition and store shipping materials and supplies to maintain inventory of stock.

🚚 Provide day-to-day guidance in Shipping by structuring workloads to maximize productivity and efficiency.

🚚 Print pick tickets from our inventory management system, constantly reviewing updates, and prioritizing workloads.

🚚 Assist the production floor and Customer Service when/as needed.

🚚 Assist with weekly Cycle Counting.


Qualifications:

Education:

🎓 High school diploma or GED required.

🎓 Associate degree or coursework in supply chain, logistics, or business preferred.

Experience:

2+ years in shipping, receiving, logistics, or materials coordination within a manufacturing environment.

Experience in a regulated industry (medical device, biotech, pharmaceutical, aerospace, or similar) strongly preferred.

Technical Skills:

Experience with inventory management or ERP systems (e.g., printing pick tickets, tracking shipments).

✅ Proficient in Microsoft Office, especially Excel and Outlook.

✅ Familiarity with cycle counting and inventory control practices.

Soft Skills & Work Style:

Strong attention to detail and ability to verify shipment accuracy.

✅ Excellent verbal and written communication skills.

✅ Comfortable working cross-functionally with Sales, Customer Service, and Production.

Proactive problem solver who can prioritize tasks in a fast-paced environment.

✅ Ability to work independently and as part of a team.

Nice to Have:

✅ Familiarity with ISO, GMP, or quality system requirements.

✅ Experience supporting audits or maintaining compliance records.

✅ Background in medical device manufacturing operations.

Physical Requirements:

✅ Ability to lift up to 50 lbs.
